Key Responsibilities
1. Event Coordination
- Plan and coordinate internal and external events (e.g., product launches, exhibitions, field activations, training sessions).
- Manage event logistics, including venue booking, vendor coordination, materials preparation, and on-site arrangements.
- Coordinate with internal stakeholders (HR, marketing, sales) to align event objectives with business goals.
- Maintain event budgets, track expenditures, and prepare post-event reports and feedback summaries.
2. Collateral Management and Re-printing
- Track stock levels of marketing collateral at regional and field locations.
- Identify requirements for re-printing collateral (brochures, banners, handouts, etc.) and coordinate with vendors or in-house teams.
- Ensure brand guidelines, design accuracy, and correct content on all printed materials before re-printing.
- Maintain a record of all re-printing orders, costs, and inventory movements.
3. Outdoor Site Monitoring
- Oversee outdoor promotional sites such as hoardings, kiosks, signage, and event-related field installations.
- Conduct periodic site visits or coordinate with field teams to check visibility, condition, and positioning of outdoor assets.
- Report damage, misplacement, or non-compliance issues to the concerned department and track corrective actions.
- Maintain a monitoring schedule and log of all sites, including photos and status updates.
4. MIS and Data Management
- Monitor, maintain, and update the company’s MIS database to ensure data accuracy and consistency.
- Prepare daily, weekly, and monthly MIS reports for management, including dashboards and performance summaries.
- Coordinate with departments (sales, marketing, operations) to ensure timely and accurate data input into the system.
5. Record Keeping and Documentation
- Maintain systematic digital and physical records of MIS reports, event plans, collateral-printing details, and site-monitoring logs.
- Ensure all documents are organized, version-controlled, and easily retrievable for audits or management review.
- Prepare and update standard operating procedures (SOPs) related to MIS, events, and site monitoring, where applicable.
Qualifications and Requirements
- Proficiency in MS Excel (pivot tables, VLOOKUP, charts), MS Word, and basic PowerPoint;
- Strong analytical and numerical skills, with an ability to work with large data sets.
- Good communication and coordination skills, both in English and Hindi.
- Willingness to travel periodically for outdoor site visits and event coordination.
- 2–4 years of experience in MIS, reporting, or operations; prior exposure to event coordination or field activities will be an advantage.
Pay: ₹40,000.00 - ₹60,000.00 per month
