Job Title: Payroll Manager
Location: Hubli, Karnataka (Candidates preferably settled in Hubli)
About the Role
We are seeking an experienced and detail-oriented Payroll Manager to oversee end-to-end payroll operations for multiple clients while ensuring compliance with applicable labour laws and statutory regulations. The ideal candidate should possess strong payroll processing expertise, excellent communication skills, and the ability to manage client relationships while delivering payroll accurately and within strict timelines.
Preferred Candidate Profile
- Married and preferably settled in Hubli.
- Prior experience handling payroll for multiple clients.
- Hands-on experience with payroll software such as GreyT HR, Keka, Razorpay Payroll, and Zoho Payroll.
- Strong knowledge of payroll compliance and statutory regulations.
- Excellent English communication and client management skills.
- Advanced proficiency in Microsoft Excel.
- Strong analytical, problem-solving, and organizational skills.
Key ResponsibilitiesPayroll Operations
- Act as the Single Point of Contact (SPOC) for assigned clients regarding payroll processing and payroll-related queries.
- Manage end-to-end payroll activities, including:
- Employee onboarding in payroll systems.
- Salary structure setup and maintenance.
- Tax computation and tax planning discussions with employees.
- Collection and validation of monthly payroll inputs.
- Processing bonuses, increments, incentives, reimbursements, and final settlements.
- Preparation and verification of salary registers.
- Verification of statutory deductions including PF, ESI, PT, and TDS.
- Issuance of payslips after salary processing.
- Coordinate with client HR teams for monthly payroll inputs and approvals.
- Conduct periodic payroll review calls with client HR teams.
- Ensure payroll is processed accurately and delivered within agreed timelines every pay cycle.
Compliance & Statutory Management
- Maintain working knowledge of applicable labour laws and compliance requirements, including:
- Provident Fund (PF)
- Employee State Insurance (ESI)
- Professional Tax (PT)
- Shops & Establishment Act
- Maternity Benefit Act
- Payment of Bonus Act
- POSH Act
- Payment of Gratuity Act
- Minimum Wages Act and Rules
- Income Tax provisions applicable to salaried individuals
- Prepare and maintain statutory registers required under various labour laws.
- Manage registrations and compliance processes for PF, ESI, Professional Tax, TRACES, Shops & Establishment, and registrations under new Labour Codes.
- Stay updated on new Labour Codes and assess their applicability for clients.
Taxation & Reporting
- Manage quarterly e-TDS returns related to salaries.
- Review annual salary and tax data for accuracy.
- Ensure timely issuance and verification of Form 16.
- Support payroll audits and compliance reviews.
Client Management & Process Improvement
- Build and maintain strong relationships with clients and internal stakeholders.
- Resolve payroll-related concerns and queries promptly.
- Set up and implement payroll systems for newly onboarded clients.
- Identify opportunities for payroll process improvements and automation.
- Standardize payroll procedures to improve efficiency, accuracy, and compliance.
Team Leadership
- Mentor and guide junior team members.
- Support team development and knowledge sharing.
- Foster a positive, collaborative, and high-performance work environment.
- Assist in building and scaling the payroll function as the organization grows.
Qualifications & Experience
- Bachelor's degree in Commerce, Finance, Accounting, Human Resources, or related field.
- 5–8+ years of payroll processing experience, preferably in a payroll outsourcing, consulting, CA firm, or multi-client environment.
- Experience managing payroll for multiple clients.
- Practical exposure to labour law compliance and salary taxation.
- Experience with GreyT HR, Keka, Razorpay Payroll, Zoho Payroll, or similar payroll platforms.

Candidates currently residing in Hubli or willing to relocate and establish long-term residence in Hubli will be preferred.
Pay: ₹20,000.00 - ₹30,000.00 per month
