Job Summary:
The Office Administrator plays a vital role in the efficient operation of our coaching institute, providing administrative support to ensure smooth functioning of daily activities. This position involves handling various clerical tasks, assisting staff, students, and parents, and maintaining organised records. The Office Administrator serves as a primary point of contact for inquiries and facilitates effective communication with visitors, staff & students.
Key Responsibilities:
Reception Duties:
- Greet visitors, parents, and students courteously and professionally.
- Manage emails and inquiries, redirecting them as necessary.
- Maintain a welcoming and tidy reception area.
Administrative Support:
- Assist in scheduling appointments, meetings and events for staff and administrators.
- Prepare and distribute correspondence, memos, forms, and reports.
- Maintain and update school records, including student files with test reports, attendance, and staff directories.
- Manage office supplies inventory and place orders as needed.
Student Support:
- Assist with student enrolment and registration processes.
- Maintain accurate student records regarding academic performance.
- Provide administrative support for student activities, such as conducting tests and checking study status.
Staff Support:
- Assist teachers and administrators with administrative tasks as needed.
- Coordinate operations head for minor assignments as needed.
- Assist with finding new teachers during hiring process.
Communication:
- Communicate effectively with parents, staff, and students.
- Manage announcements and communications through various channels, such as WhatsApp, emails etc.
Data Management:
- Input and update student data with the management/teachers.
- Generate reports and compile data for administrative purposes.
- Ensure the confidentiality and security of student and staff records.
Other Duties:
- Assist with special projects and initiatives as assigned by institute leadership.
- Support the efficient operation of the office by performing miscellaneous administrative tasks as needed.
Qualifications:
- High school diploma or equivalent; bachelor's degree preferred.
- Proven experience in office administration or a related field, preferably in an educational setting.
- Proficiency in Microsoft Office Suite (Word, Excel) and other relevant software applications.
- Strong organisational and multitasking skills with attention to detail.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and exercise discretion when handling sensitive information.
- Customer service-oriented with a positive attitude and professional demeanour.
- Ability to work independently as well as collaboratively in a team environment.
- Familiarity with school administrative procedures and educational terminology is desirable.
