The Team
The Service Catalogue & Operations Coordinator is responsible for the day-to-day management and accuracy of the enterprise software catalogue and provides critical operational support across the Software Review function. This role ensures catalogue integrity, supports intake and review workflows, and enables smooth coordination across legal, security, compliance, and stakeholders. The coordinator acts as the operational backbone of the team, ensuring continuity, data quality, and SLA adherence
How you will contribute
- Service Catalogue Management:
- Maintain and continuously update the global software catalogue, including approved applications, versions licensing models, and ownership details.
- Ensure catalogue accuracy, metadata quality, and alignment with security, compliance, legal, and internal policy requirements.
- Support catalogue governance by tracking software lifecycle status, review dates, and required re-assessments.
- Operational Coverage & Workflow Coordination:
- Provide backup operational coverage for:
- Software request intake and initial triage
- Legal and contract review queue coordination
- Vendor documentation and evidence collection
- Coordination of cross-functional workflows between IT, Legal, Security, GRC, ITAM, and business teams to ensure timely progression of requests.
- Monitoring of queue health, SLA adherence, and hand-offs across review stages, escalating risks or bottlenecks as needed.
- Renewals, Reporting & Operational Insight:
- Track software renewals, expirations, and upcoming re reviews to support proactive planning and risk management.
- Support operational reporting, dashboards, and monthly service reviews, ensuring accurate and reliable data.
- Identify trends or improvement opportunities across requests, catalogue usage, and review timelines.
- Process & Continuous Improvement
- Assist in maintaining process documentation, playbooks, and knowledge articles.
- Support continuous improvement initiatives focused on automation, data quality, and operational efficiency.
Qualifications
- 5+ years’ experience in IT operations, service management, software asset management, or procurement support or a related operational role within an enterprise or consulting environment.
- Familiarity with ServiceNow or comparable ITSM / workflow platforms.
- Hands‑on experience maintaining enterprise software or service catalogues, including metadata accuracy, lifecycle status, and review tracking.
- Proven experience supporting cross‑functional workflows involving IT, Legal, Security, Risk/Compliance, and business stakeholders.
- Strong organisational and multitasking skills, with the ability to manage multiple workstreams concurrently.
- Demonstrated ability to manage operational queues, SLAs, and hand‑offs across multiple workstreams and time zones.
- Ability to read and interpret software licensing terms, contracts, and compliance-related documentation with a high level of accuracy.
- High attention to detail and a service-oriented, operational mindset.
- Bachelor’s degree in information systems, Business, Operations Management, or a related field (or equivalent practical experience)
- Proven experience supporting professional services or consulting environments
- Exposure to software governance, IT asset management (ITAM), vendor management, or compliance/risk functions.
- Experience supporting process improvement, automation, or operational reporting initiatives.
- Experience working with third-party managed service providers
- Pragmatic, service-oriented, and outcome-focused
- Comfortable operating in fast-paced, low-bureaucracy environments
- High attention to detail with strong ownership mindset
- Collaborative approach with the ability to influence without formal authority
