Overview
As a Workplace Experience Specialist based in Bangalore, you will be the on-the-ground owner of day-to-day workplace operations in India. You will play a key role in ensuring the office runs efficiently, supporting employees onsite, managing vendors and invoices, coordinating onboarding activities, and enhancing the overall workplace experience as the company's presence continues to grow.
This is a hands-on role for someone who is organized, proactive, dependable, and comfortable working independently in a fast-paced environment. Success in this role requires strong communication skills, attention to detail, excellent follow-through, and the ability to manage multiple priorities across employees, vendors, building management, and internal stakeholders.
Key Responsibilities
- Manage day-to-day office operations, including workspace administration, office readiness, and coordination with workspace providers and vendors.
- Support office leasing and expansion activities, including lease renewal proposals, site inspections, and administrative documentation.
- Oversee workplace procurement and cost administration, including invoice processing, service fees, purchase order tracking, accounts payable follow-ups, and expense coding.
- Coordinate employee experience initiatives, including onboarding kits, welcome packages, company merchandise, local events, and employee gifting programs.
- Conduct routine checks of pantry facilities, amenities, and shared office spaces, and work closely with facilities and service vendors to maintain service quality.
- Ensure the office aligns with global workplace standards through regular inspections of workspaces, meeting rooms, collaboration areas, common spaces, and facilities.
- Manage and follow up on workplace-related requests through the company help desk or ticketing system, ensuring timely resolution.
- Coordinate with building management, security personnel, and external vendors to support workplace requirements, including after-hours or special operational needs.
Requirements
- Experience in office management, workplace operations, facilities management, or vendor coordination.
- Knowledge of procurement processes, invoice management, purchase order administration, and cost control.
- Experience supporting employee onboarding, workplace engagement initiatives, events, and employee experience programs.
- Strong organizational and prioritization skills with the ability to work independently and manage multiple tasks simultaneously.
- Excellent communication and stakeholder management skills across employees, vendors, and internal teams.
- Proficiency with workplace productivity tools such as Google Workspace (Gmail, Calendar, Docs, Sheets) and collaboration platforms.
- Experience with Jira or similar ticketing/request management systems is an advantage.
Pay: From ₹12,026.91 per month
