Job Summary
We are looking for a highly organized and detail-oriented Front Office Executive / Admin Executive to manage front office operations, administrative activities, travel bookings, and vendor coordination. The ideal candidate should have strong experience in booking bus, train, and flight tickets with a high level of accuracy, along with excellent communication and multitasking skills.
Key ResponsibilitiesFront Office Management
- Greet and welcome visitors, guests, and employees professionally.
- Answer, screen, and forward incoming phone calls.
- Maintain a professional and presentable reception area at all times.
- Manage visitor records, logbooks, and access control procedures.
Administration & Coordination
- Coordinate and follow up with vendors and service providers.
- Maintain records of stationery and office supplies and ensure timely procurement.
- Handle office maintenance-related activities and coordinate with concerned agencies.
- Schedule meetings, update calendars, and provide administrative support to management.
- Prepare courier documents and maintain courier dispatch and receipt records.
- Manage insurance renewal processes and related documentation.
- Maintain and monitor FASTag accounts and related records.
- Arrange cabs and local transportation as required.
Travel Management (Mandatory Expertise)
- Independently manage booking of bus, train, and flight tickets for employees and management.
- Coordinate hotel and accommodation bookings as required.
- Ensure accurate travel planning, itinerary management, and timely reservations.
- Handle travel-related modifications, cancellations, and emergency arrangements.
- Maintain travel records and ensure cost-effective booking practices.
Credit Card Management
- Manage and maintain records of 70+ corporate credit cards.
- Track card utilization, payment due dates, and monthly reconciliations.
- Coordinate with banks for card-related issues, renewals, and documentation.
- Ensure timely payment processing and accurate record maintenance.
Employee & Guest Support
- Arrange accommodation, food, transportation, and other logistics for visiting employees and guests.
- Provide administrative assistance for internal and external stakeholders.
Inventory & Compliance
- Order front office and administrative supplies and maintain inventory records.
- Ensure adherence to office safety and security procedures.
- Support management in any additional administrative tasks as assigned.
Required Qualifications & Skills
- Graduate in any discipline.
- Minimum 5 years of experience in Front Office, Administration, or Travel Coordination.
- Mandatory experience in bus, train, and flight ticket booking with high accuracy.
- Experience in handling multiple corporate credit cards and payment tracking.
- Good knowledge of MS Office (Excel, Word, Outlook).
- Strong organizational, coordination, and record-keeping skills.
- Excellent communication and interpersonal abilities.
- Ability to handle multiple tasks and work under deadlines.
