Meetings and Event Service (MES) Meeting Planning

We collaborate with Deloitte professionals to accomplish their objective and deliver quality end to end services including: assessment and approval process, venue sourcing (both externally and at DU: The Leadership Center in India), registration, logistics planning, budget management and reporting. Work you will do as a Meeting Planner (CL3 – Analyst/Senior Analyst)
This position is responsible for the planning and execution of the US Firms’ regional events with a focus on mid-tier events.
Deliver exceptional client service with a consultative, solutions-oriented approach- Data gathering to determine event requirements
- Development and maintenance of forecast
- Enforce all meeting protocols and guidelines (cost saving measures, risk policies, contract, approvals, etc,.)
- Effectively communicate sponsor’s objectives and requirements to support venue and vendor sourcing, event registration, and logistical processes; drive the process for the sponsor; final review and approval
- Rooms management to minimize financial impact to the firm in regard to rooms attrition costs
- On-site support as designated by Event Manager to ensure adherence to standards and specifications, venue performance, and successful meeting execution
- Post meeting reporting, charge backs, payment processing and reconciliation.
- Assist with national meetings, as second planner and/or on-site support, as designated by Manager – MES Planning
- Direct report responsibility and accountability for professional development and performance
- Coordinate the catering services by ensuring that budget limitations are adhered to
- Reviews invoices related to meetings and events for accuracy and ensure that they are paid in a timely manner
- Work as a custodian for the F&B meetings, input collected briefing feedback into meetings management tool
- Apply basic knowledge of the job skills, company policies and procedures to complete specialized assignments/tasks in creative and effective ways
- Collaborate with the meeting planners in supporting briefings, events and other large meetings
- Manage co-ordination of set up for AV, meetings rooms, lunch and break areas etc

Coordinates internal meetings and special events, working with event owners and contacts.

Proactively initiates contact with internal event owners on upcoming/potential events.
- Assists meeting planners with forecasting, sourcing, planning, registration and onsite support etc.
Collaboration and Leadership:
- Frequent interaction with restaurants/hotels and industry sales and operation professionals, whenever required, supporting Deloitte’s partnerships.
- Frequent interaction and communication with USI Meeting planners, Internal and external clients through event registration and coordination
- Collaborate with other MES Service Lines, CoRe Procurement, Talent, Marketing and Local Office Operations/Hoteling
- Special projects as designated by Meetings and Event Services leadership.
Qualifications
- Bachelor’s degree in hospitality, hotel management, business, or related field preferred.
- Basic knowledge in contracting, organizing and managing all logistical aspects of corporate events
- 2 to 5 years of relevant corporate events experience in a corporate environment
- Excellent communication skills (written and oral) with a consultative style
- Project management – ability to understand scope, create timelines and budgets, and deliver on time to budget.
- Solutions & results oriented.
- Ability to work in teams and individually, on multiple projects simultaneously, and under deadlines
- Previous client service experience
- Ability to excel while working independently and virtually
- Strong working knowledge of Word, Excel, Outlook
- Ability to travel regionally and work extended hours as required by the event
- Ability to handle high volume workload and fast pace
