Position Summary:

We are seeking a highly organized,reliable, and tech-savvy Executive Assistant to provide administrative support to our executive team. The ideal candidate will have basic knowledge of scheduling and coordinating meetings, events, and travel arrangements. The candidate could also be a retired professional with a wealth of experience looking for a rewarding role. The position requires proficiency with modern technology, strong organizational skills, and the ability to manage a variety of tasks efficiently.

Key Responsibilities:

Scheduling and Calendar Management:
Manage and organize the Director's personal and professional calendar, including appointments, meetings, and events.
Ensure all meetings are efficiently scheduled, avoiding conflicts and optimizing time.
Prepare and distribute meeting agendas, materials, and follow-up action items as needed.
Tech-Savvy Support:
Use and manage digital tools, apps, and platforms to streamline daily tasks, communication, and scheduling.
Assist with basic tech support tasks, including setting up devices, managing software updates, and troubleshooting minor technical issues.
Communication and Correspondence:
Serve as the primary point of contact for internal and external communication on behalf of the executive.
Draft, review, and send out emails, letters, and other correspondence as directed.
Handle phone calls and messages, ensuring prompt and professional responses.
Meeting Coordination:
Arrange and coordinate meetings, both in-person and virtual, including securing venues, setting up conference calls, and managing technical requirements.
Take minutes during meetings and distribute them to relevant stakeholders.
Follow up on action items from meetings to ensure timely completion.
Travel and Event Planning:
Organize and book travel arrangements, including flights, accommodations, and transportation.
Prepare travel itineraries and ensure all necessary travel documents are in order.
Assist in planning and coordinating company events, conferences, and executive functions.
Administrative Support:
Manage and maintain confidential files, records, and documents.
Assist in preparing reports, presentations, and other documents as needed.
Handle expense reports and reimbursements for the executive team.
Monitor and order office supplies, ensuring the executive’s office is well-equipped.
Task Management:
Assist the executive with prioritizing daily tasks and managing their to-do list.
Proactively identify areas where support is needed and take initiative to assist.

Qualifications:

Education:
High school diploma or equivalent required; an Associate’s or Bachelor’s degree in Business Administration or a related field is preferred.
Experience:
Previous experience in an administrative or executive assistant role is preferred but not required.
Retired professionals with a solid background in administration, management, or a related field are encouraged to apply.
Basic knowledge of scheduling, coordinating, and administrative support.
Technical Skills:
Proficient in using technology, including smartphones, tablets, computers, and various software applications (e.g., Microsoft Office, Google Workspace, task management tools).
Comfortable with learning new digital tools and apps to enhance productivity
Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
Skills:
Strong organizational skills and attention to detail.
Excellent verbal and written communication skills.
Ability to manage multiple tasks and prioritize effectively.
Discretion and confidentiality in handling sensitive information.
