Full job description

Role Summary

The Executive Assistant will serve as the trusted right hand to the Managing Director, ensuring smooth execution of daily operations, strategic priorities, executive communications, and cross-functional coordination.

This role demands exceptional organizational skills, confidentiality, business acumen, and the ability to manage multiple priorities in a fast-paced environment.

Key ResponsibilitiesExecutive Support

Manage the MD's calendar, appointments, meetings, and travel schedules.
Prioritize appointments and optimize daily schedules.
Prepare meeting agendas, presentations, and briefing notes.
Record meeting minutes and ensure timely follow-up on action items.

Strategic Coordination

Coordinate with department heads to track business priorities.
Monitor progress of key projects and strategic initiatives.
Prepare business reports, dashboards, and executive summaries.
Assist the MD in reviewing business performance metrics.

Communication Management

Draft professional emails, presentations, and internal communications.
Act as a liaison between the MD and internal/external stakeholders.
Handle confidential correspondence with discretion.

Business Operations

Coordinate leadership meetings and management reviews.
Track deadlines and ensure timely completion of deliverables.
Assist in policy documentation and process improvements.
Maintain confidential business records and documentation.

Stakeholder Management

Coordinate with OEM partners, financial institutions, vendors, and corporate clients.
Build strong working relationships across departments.
Ensure prompt communication between leadership and business teams.

Administrative Excellence

Manage travel bookings, itineraries, and expense reports.
Organize events, board meetings, and leadership off-sites.
Maintain filing systems (digital and physical).
Handle special assignments and confidential projects from the MD.

Required Qualifications

Bachelor's degree in Business Administration, Commerce, Management, or a related field.
MBA is preferred.
3–8 years of experience as an Executive Assistant, Executive Secretary, or Executive Coordinator supporting senior leadership.
Experience in automotive, technology, startup, retail, or consumer-facing industries is an advantage.
