• Handling the office administration work for Puma Head Office in Bangalore .
• Executive / Personal Assistant for Asia Sourcing Head and arranging for the Internal & External meetings and Day to Day activities and office Expense Budgets and cost & benefit analysis for New projects & Travels Etc..
• Operation Managements : Towards Supervising Front & Back Office Management / Communication Dept / House Keeping Dept / Security Dept / Store & Samples Dispatch Dept/ Store Stock and Inward & Outward Metarial Managements
• Makeing Travel & Hotel arrangements for Domestic & International Visitors / Guests / Employees Etc .
• Ensuring the Up keeping and Maintenance of Bangalore Office and Guest House and maintaining the Day to Day activity’s & Operations.
• Managing Travel Tickets bookings and Arranging the Employment / Business / Tourist Visa and co-coordinating with Expats for Applying Employment Visa / Work Permit and Arranging the required documents for the same .
• Handling Vendors development for purchase of Office Equipments / Company Assets and Getting the Quotes and Negotiations & Evaluation of the Vendors and issuing Purchase orders and Ensuring Timely Executions.

• Facilities Managements : Ensuring & Up keeping the Office Equipments like Servers /Hubs /Switches /Printers/ UPS / Generators / Xerox Machine / Hygienic Units & Other Office Equipments Etc...
• Managing AMC & Service contracts for the office Equipments / Pest Controls / Ofiice Maintenance / Catering / House Keeping / Security Service Etc...
• Co-coordinating with HR Dept for recruitment of new employee’s .and follow-up with employment consultants for new profiles & arranging Interviews. Etc.

• Event Managements : As per the HR Dept & Employees Requirements’ Arranging the Parties / Outings / Auditorium / Conference Room /Accommodations’ Etc...
• Employee Engagement like Birthday Party’s / Farewell / Arranging the Cake / Snacks /Gifts / Flowers / Greeting Cards / Gift Vouchers Etc...

2. Account -Dept

• Co-ordination with finance dept for Vendors & Suppliers Payments / Dispatch of Payments & Employee Salary Cheques .Etc
• After Verification of Vendors & Suppliers Invoices / Employee Claims / Corporate Credit Card Expense and submit the Invoice & Claims to Account Dept for process the Payment.
• Booking the expenses on the SAP system and Sending Various Expense reports with Employee & Division wise cost allocations to Head Office.
• Managing the Manufacturing Agreements & Supplier Contracts as per the Puma Standard & Terms & Conditions and Co-coordinating with Head Office & Suppliers / Factory’s and Ensuring the Manufacturing Agreements & Supplier Contracts are without any discrepancy’s and Issuing the Debit / Credit Notes to Factories / Suppliers
• Co-ordinating with Auditors and Head Office for company Income Tax /Anual Returns fillings and also ROC compliances and Returns Filings and follow-up on the Directors AGM / Auditor Appointments letter Etc…and As per the TDS Challan making online TDS payments .

2. Sample -Dept

• Towards Sample Handling- Placing the Sample Orders with Suppliers /Factory’s and follow up till sample payments release to the Suppliers & Factory’s . and implement The Better & Smooth Process for Verifying invoices in sample system STS and Arranging copies of all Invoices to Finance Team in Hong Kong office and .Arrange Training Meeting’s for suppliers seasonally and with adding instructions for supplier towards follow up to ensure smooth process of sample shipment’s as per the SOP of each customers & instruction’s and guide supplier to follow sample booklet Instructions per customer’s Instruction’s accordingly

• Updating STS system OCSD for each PO with in 2 weeks of Order received from customer PUMA SE .and updating confirmed FOB price for each style in STS system and Consequently monitor with Suppliers for creation of Performa Invoice & Packing List in STS system and enabling customers for the Custom Clearance Etc.

• Double checking the shipping Instruction & customer SOP and shipping documants and ensure that they follow-up the customer’s SOP. and GSI manuals

• Checking Invoice and shipping document with PO / Price / Qty / Sample Type and sending Original Document to Customer’s & Factory’s

• Creating and sending updated ASN / DSR in STS and sending the same to Customer’s & Head Office in Time and Co-ordinate with R&D Dept / Customer’s /Supplier’s / Sample Dept / Forwarders and Arranging Trainings for the Supplier’s / Factory’s on the sample’s / shipment’s handling procedure’s & Shipping documentations and ensure that the samples & shipment’s reaches customer on Time.

Checking for the verifying and rejecting the invoice–checking whether the invoice has been rejected for the correct  reason or not. 
Three way matching of invoice (Matching of PO, invoice and GR)
Responsible for the processed invoice has to be paid to the vendor within the time specified (As per the due date).
Quality check ( QC) on a daily basis and report to the manager if there are any errors.
Sharing the process related information with all the team members through regular team meetings and huddles.
Preparing pending report to the team on a daily basis

Overall work culture is good  with good perks being offered like annual outbound for all the employees. Work pressure is also not that much. Only problem being the nature of the senior management now , wherein for them good work is not being awarded appropriately and every thing in the organization goes by the face- value. If  you are being liked by the senior management then only u can sustain / grow in the organization.

Working at puma was a great experience the management was very supportive and helpful I learned teamwork, communication, and customer service skills the workplace culture was positive and energetic sometimes it was a bit busy during rush hours,but overall it was enjoyable the best part was working with a friendly team and learning new things every day.

I was working full day in puma store which was near from my location  i was with three person with gaining better pay from this job i have learned several types of things how to operate with customer also puma manager and staff was very supportive because they always help me in my work how i can go better in future by giving good knowledge and skills 

It's a shift wise work, lots of communication required , have to be very presentable, understand the situation. Management is fair, lots of company benefits. Workplace is world class. But very time consuming work, have to be very flexible when working. Got to meet sport person internationally and nationally.
