Arora Engineering Works is a Ghaziabad-based manufacturer and exporter of mechanical spare parts for cement plants, including bucket elevator components, screw conveyors, air slides, feeders, packing plant spares and wear parts.

About the Role
This is not a conventional secretarial or administrative position.
The Executive Assistant will work as an extension of the Promoter & COO's office, taking ownership of priorities, follow-ups, cross-functional coordination, management reporting and execution.
The ideal candidate should be proactive, highly organised and comfortable working independently in a fast-paced, promoter-led manufacturing environment.
Key Responsibilities1. Calendar & Priority Management
- Manage the Promoter & COO's calendar, meetings and commitments.
- Plan and prioritise daily and weekly schedules.
- Prepare the Promoter for important meetings with relevant information.
- Coordinate internal and external meetings.
2. Follow-up & Execution
- Maintain a live tracker of pending activities and commitments.
- Follow up with department heads, managers, vendors and customers.
- Drive tasks to closure, not just provide reminders.
- Identify delays, bottlenecks and pending actions proactively.
- Escalate critical issues at the right time.
3. Cross-Functional Coordination
Coordinate with:
Sales | Production | Purchase | Accounts | HR | Dispatch | Export | Stores | Design | Management
- Collect and consolidate information required by management.
- Track projects and key initiatives.
- Ensure timely flow of information between departments.
- Follow up on commitments made during meetings.
4. Meetings & Action Tracking
- Prepare meeting agendas and background information.
- Record meeting minutes and action points.
- Maintain an Action Item Tracker.
- Follow up with responsible persons until closure.
- Circulate meeting action points within the required timeline.
5. MIS & Management Reporting
- Prepare and maintain daily and weekly trackers.
- Consolidate departmental inputs into concise management reports.
- Highlight delays, deviations and pending decisions.
- Support management reviews and business planning.
- Prepare Excel / Google Sheets-based reports and dashboards.
6. Travel & Event Coordination
- Coordinate business travel, exhibitions and trade fairs.
- Prepare travel itineraries and schedules.
- Coordinate logistics related to business events.
- Ensure the Promoter's schedule remains organised during travel.
7. Confidential & Personal Support
- Handle confidential business and personal information with complete discretion.
- Assist with selected personal commitments of the Promoter.
- Maintain strict confidentiality regarding company, family, financial and strategic matters.
- Willingness to sign an NDA.
Candidate Requirements – Must Have
- 6–10 years of relevant experience as an Executive Assistant, Executive Secretary or Management Assistant.
- Minimum 2 years of direct experience supporting a Promoter, Director, Founder or CXO.
- Manufacturing / Engineering industry experience is mandatory.
- Strong written and spoken English and Hindi.
- Advanced knowledge of MS Excel / Google Sheets, including filters, pivot tables and basic formulas.
- Strong follow-up and coordination skills.
- Ability to independently manage multiple priorities.
- Graduate in any discipline.
- Immediate joiner or candidate who can join within 10 days maximum.
- Candidate should be based in Ghaziabad, East Delhi, Noida or nearby areas with a practical daily commute to Ghaziabad.
- Strong sense of confidentiality and professional discretion.
Preferred
- Experience in a family-owned / promoter-led organisation.
- Exposure to MIS, dashboards and management reporting.
- Experience coordinating exhibitions, trade fairs or business travel.
- Exposure to export / customer coordination.
- Strong stakeholder management skills.
Pay: ₹38,000.00 - ₹42,000.00 per month
