We are looking for an experienced Centralized Project Planning, Coordination, Procurement & Billing professional to manage and monitor multiple Civil, Infrastructure, and Pipeline Projects from the Head Office.
The role will be responsible for providing centralized support and control to project sites, ensuring effective planning, resource coordination, procurement, progress monitoring, billing, commercial control, and management reporting.
Key Responsibilities
- Develop, consolidate, and monitor project schedules, execution plans, and baseline programs for multiple projects.
- Establish centralized planning and project monitoring systems from Head Office and track site performance against approved schedules.
- Coordinate regularly with Project Managers, Site Engineers, Procurement, Commercial, Accounts, and Management teams.
- Monitor project progress, identify critical activities, delays, bottlenecks, and resource constraints, and coordinate corrective actions with project teams.
- Prepare and review daily, weekly, and monthly project progress reports, MIS, dashboards, and management presentations.
- Consolidate project-wise requirements for materials, manpower, equipment, subcontractors, and other resources.
- Coordinate centralized procurement planning, including material indents, RFQs, vendor comparison, purchase orders, delivery schedules, and follow-up with suppliers.
- Monitor material procurement and delivery status to ensure timely availability at project sites.
- Review and coordinate BOQ, quantity requirements, work orders, subcontractor requirements, and project cost data.
- Coordinate preparation, submission, certification, and follow-up of RA Bills, client bills, subcontractor bills, and final bills.
- Review measurements, quantities, BOQ deviations, extra items, variations, and supporting documents before billing submission.
- Monitor billing progress, collections, outstanding certifications, and project cash flow in coordination with the Commercial and Accounts teams.
- Support preparation of variation claims, extra-item claims, escalation claims, EOT claims, and other commercial submissions.
- Maintain centralized records of contracts, POs, work orders, BOQs, drawings, schedules, bills, procurement status, and project correspondence.
- Compare planned vs. actual cost, quantity, procurement, billing, and physical progress and highlight major deviations to Management.
- Provide HO-level coordination and commercial support to project teams for timely resolution of project issues.
- Assist Management in resource allocation, project prioritization, risk identification, and strategic project monitoring.
- Ensure timely project close-out, including final measurements, reconciliation, final billing, documentation, and handover.
Education & Experience
- BE / B.Tech / MBA preferred.
- Minimum 3–5 years of experience in Project Planning / Project Coordination for Civil, Infrastructure, and Pipeline Projects.
- Experience in handling multiple projects simultaneously from Head Office will be highly preferred.
- Experience in EPC, Infrastructure, Pipeline, Oil & Gas, Water, or Industrial Projects will be an added advantage.
Preferred Skills
- Strong understanding of Project Planning, Procurement, Quantity Surveying, Billing, Commercial Management, and Project Controls.
- Proficiency in MS Excel, MS Project / Primavera P6, and project reporting/MIS tools.
- Good knowledge of BOQ, rate analysis, measurements, RA Bills, variations, claims, subcontractor billing, and procurement processes.
- Strong analytical, coordination, communication, negotiation, and follow-up skills.
- Ability to coordinate effectively with multiple project sites, vendors, subcontractors, clients, consultants, and internal departments.
Role Objective
The position will act as a Centralized Project Control & Coordination function at Head Office, ensuring that all Civil, Infrastructure, and Pipeline projects are planned effectively, resources and materials are available on time, execution is closely monitored, billing is maximized and submitted promptly, and Management has clear visibility of project performance, costs, procurement, and cash flow.
