JOB DESCRIPTIONPosition: Personal Assistant (PA)
Job Summary
We are seeking a highly organized, proactive, and professional Personal Assistant (PA) to provide comprehensive executive and administrative support to the Chairman. The ideal candidate will be responsible for managing the Chairman's schedule, coordinating meetings and travel arrangements, preparing Minutes of Meetings (MoM), handling confidential correspondence, and ensuring seamless communication with internal and external stakeholders. The role requires excellent spoken and written English, exceptional organizational skills, a presentable personality, and the flexibility to travel with the Chairman whenever required. The candidate should possess a high level of integrity, discretion, and the ability to work efficiently in a fast-paced business environment.
Key Responsibilities
- Manage the Chairman's calendar, appointments, meetings, and travel schedules.
- Coordinate domestic and international travel, including flight bookings, hotel reservations, visas, and travel itineraries.
- Attend meetings with the Chairman and accurately record Minutes of Meetings (MoM).
- Prepare and circulate meeting agendas, meeting minutes, and follow-up action points.
- Ensure timely follow-up with internal teams and external stakeholders on pending assignments and decisions.
- Draft professional emails, letters, presentations, reports, and other business correspondence.
- Maintain confidential records, documents, and files with complete discretion.
- Coordinate with senior management, clients, consultants, government authorities, bankers, and business associates.
- Organize Board Meetings, Management Meetings, business events, and executive appointments.
- Handle incoming communications and prioritize matters requiring the Chairman's attention.
- Assist the Chairman in day-to-day administrative and business activities.
- Perform any other assignments entrusted by the Chairman from time to time.
Desired Candidate Profile
- Graduate in any discipline; MBA or equivalent qualification will be an added advantage.
- Minimum 3–7 years of experience as a Personal Assistant or Executive Assistant to senior management.
- Excellent spoken and written English with strong communication and interpersonal skills.
- Smart, confident, and professionally presentable with excellent business etiquette.
- Willingness to travel with the Chairman on business trips as and when required.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, and Outlook).
- Excellent note-taking and Minutes of Meeting (MoM) preparation skills.
- Strong organizational, multitasking, and time-management abilities.
- High level of confidentiality, integrity, and professionalism.
- Ability to work independently, manage multiple priorities, and meet deadlines in a dynamic environment.
Pay: ₹50,000.00 - ₹65,000.00 per month
