Job Description (JD) – HR & Admin Executive (Construction Site)
Position: HR & Admin Executive (Site)
Department: Human Resources & Administration
Location: Construction Site
Reporting To: HR Manager / Project Manager / Corporate HR
Employment Type: Full-Time
Key Responsibilities1. HR Operations
- Manage employee onboarding, joining formalities, and site induction.
- Maintain employee personal files and HR documentation.
- Verify employee KYC documents and maintain updated records.
- Coordinate employee transfers, confirmations, resignations, and exit formalities.
- Support recruitment by coordinating interviews and mobilization of manpower.
- Maintain employee database and HRMIS records.
2. Attendance & Payroll Support
- Maintain daily attendance through biometric, muster rolls, or digital attendance systems.
- Verify contractor labour attendance and manpower deployment.
- Prepare monthly attendance reports for payroll processing.
- Monitor overtime records and leave applications.
- Coordinate with Corporate HR for salary processing and final settlements.
3. Labour Compliance
- Ensure compliance with labour laws and company policies.
- Maintain statutory registers and employee records.
- Coordinate with contractors regarding labour documentation.
- Verify statutory documents such as ESIC, EPF, labour licences, insurance, and identity cards.
- Support internal and external compliance audits.
4. Site Administration
- Manage office administration and housekeeping.
- Coordinate transportation, accommodation, and food arrangements.
- Maintain office stationery, consumables, and administrative inventory.
- Supervise housekeeping, pantry, and security personnel.
- Coordinate guest visits and accommodation arrangements.
5. Asset & Facility Management
- Maintain records of company assets issued to employees.
- Coordinate repairs and maintenance of office equipment.
- Monitor fuel usage, vehicle logs, and utility services.
- Ensure proper maintenance of site offices and welfare facilities.
6. Employee Welfare
- Address employee grievances at the site level.
- Organize employee engagement and welfare activities.
- Coordinate medical assistance and emergency support.
- Ensure availability of drinking water, sanitation, PPE, and welfare facilities.
7. Vendor & Contractor Coordination
- Coordinate with housekeeping, security, transport, catering, and accommodation vendors.
- Monitor vendor performance and service quality.
- Verify vendor bills before submission for payment.
8. Documentation & Reporting
- Prepare daily, weekly, and monthly HR/Admin reports.
- Maintain records of manpower strength, attrition, leave, and absenteeism.
- Submit MIS reports to Corporate HR and Project Management.
- Maintain confidential employee and project records.
9. Health, Safety & Environment (HSE)
- Participate in site safety meetings and toolbox talks.
- Ensure compliance with company HSE policies.
- Coordinate employee safety induction programs.
- Support emergency evacuation and incident reporting procedures.
Required Qualifications
- Bachelor's Degree in Human Resources, Business Administration, Commerce, or related field.
Experience
- 3–6 years of experience in HR & Administration.
- Minimum 2 years of experience in construction, infrastructure, EPC, industrial, or project-based organizations.
- Experience in handling site HR operations and labour management is preferred.

- Knowledge of labour laws, EPF, ESIC, and statutory compliance.

Pay: ₹18,000.00 - ₹25,000.00 per month
