Key Responsibilities
1. Office Administration & Coordination
- Maintain and organize project records, correspondence, reports, and operational documents.
- Update internal records, spreadsheets, ERP systems, or other company databases.
- Coordinate routine office communications and assist with incoming enquiries.
- Maintain records of office supplies and operational materials.
- Assist with attendance records, leave information, and local travel expense documentation.
- Support management with routine administrative and coordination activities.
2. Sales & Client Coordination
- Receive and coordinate sales leads with the concerned sales or field team.
- Maintain lead, enquiry, quotation, and follow-up records.
- Coordinate with technical and commercial teams for preparation of quotations and proposals.
- Assist in compiling information required for tenders, quotations, and project submissions.
- Follow up with clients regarding quotations, project schedules, material dispatches, and work progress.
- Maintain regular communication with clients and provide updates as instructed by the management.
- Track payment and outstanding invoice follow-ups and coordinate the information with the accounts team.
3. Field & Project Coordination
- Visit project and client sites as required to monitor ongoing work.
- Coordinate with site personnel, technicians, contractors, vendors, and labour teams.
- Monitor project progress against assigned schedules and report delays or site-related issues.
- Verify materials received at project sites against delivery documents and project requirements.
- Assist in maintaining basic quality and safety standards at project locations.
- Record site observations and provide regular progress updates to the reporting manager.
- Capture project photographs and maintain site visit records where required.
- Coordinate with the office team regarding material requirements, manpower requirements, and site activities.
Required Qualifications & Skills
- Graduate degree or diploma in a relevant discipline.
- Approximately 2–5 years of relevant experience in administration, sales coordination, project coordination, site supervision, or a related field.
- Good working knowledge of MS Excel, MS Word, email, and basic digital documentation systems.
- Working knowledge of English is required for office documentation and professional communication.
- Knowledge of Bengali and Hindi will be useful for coordination with local vendors, workers, and site teams.
Additional Requirements
- The role requires regular movement between the office and project sites.
- Candidates should be comfortable working in both office and field environments.
- Candidates should be comfortable using smartphones and digital applications for reporting, communication, and site updates.
Pay: ₹10,000.00 - ₹12,000.00 per month
