About the Opportunity
Our Educational Institutions have entered a Knowledge Partnership with Let's Eat Healthy, an upcoming healthy-food quick-service restaurant (QSR) brand. This partnership brings together our institutions' academic and operational expertise with a fast-growing venture in the health and food-service space — creating a unique, hands-on learning and working environment at the intersection of education, entrepreneurship, and enterprise.
As part of this partnership, we are hiring an Executive Assistant to directly support the Vice-President across his full range of responsibilities. This role sits at the center of that partnership: part project driver, part researcher, part coordinator, and part right hand — supporting not only the knowledge partnership, but the Vice-President's personal schedule and his broader social, political, and institutional engagements.
This is not a back-office scheduling role. You will sit close to the Vice-President, help drive daily execution across multiple simultaneous workstreams, and grow into a broader portfolio spanning our educational institutions, and social engagements as responsibilities evolve.
What You'll Actually Do
- Own execution, not just the calendar. Proactively keep tasks on track through every transition, not just at pre-set check-ins.
- Manage the Vice-President's personal schedule — appointments, travel, and day-to-day commitments — alongside his professional workstreams.
- Coordinate his social and institutional engagements, including event logistics, correspondence, and follow-through with relevant contacts and stakeholders.
- Coordinate trials, events, interviews, and vendor conversations.
- Track regulatory clearances and licensing requirements end-to-end until closed.
- Research and summarize unfamiliar regulatory, operational, or industry topics so the Vice-President can make fast, informed decisions.
- Help compile and structure operational documentation — training manuals, SOPs, and other documents — sourced from multiple contributors .
- Independently triage priorities. Assess what genuinely must happen today versus what can flex or wait, rather than relying only on how urgent a task feels in the moment.
- Create urgency without pressure. When something needs to move, frame it with the reason it matters, the consequence of delay, and the time remaining.
- Help the Vice-President start, not just plan. When a task is stalling, be willing to sit down and begin it alongside him rather than only issuing instructions.
- Protect deep focus. Recognize when the Vice-President is in a genuine productive flow and hold back non-critical interruptions until it naturally breaks.
- Keep score visibly. Track and surface progress so completed work is visible and recognized, not just logged.
- Independently execute a portion of tasks end-to-end; monitor and follow up on tasks delegated to others; flag anything at risk of slipping.
- Maintain a single reliable source of truth for what's open, what's overdue, and what's next — across all of the above.
What You'll Grow Into
This role will expand further into support across our educational institutions, and a wider network of social and institutional engagements. Early exposure to these will happen even during the current phase.
Who We're Looking For
- A dynamic generalist — someone energized by learning a new domain quickly, not someone who needs a fixed lane.
- Genuinely good with people: reads a room, handles pushback with grace, has humility rather than ego.
- Organized by nature — builds their own systems and doesn't wait to be told how to track something.
- Comfortable being direct and persistent when something needs to move, without being abrasive or making anyone feel judged.
- Emotionally attuned — can tell the difference between a day to push and a day to hold back, and adjusts without being asked.
- High discretion — this role will touch personal, family, institutional, political, and reputationally sensitive matters.
- Background in psychology, hospitality, or QSR operations is a plus, not a requirement.
- Comfortable with a hybrid working rhythm — in person when needed, always reachable by phone/message otherwise.
- 3+ years in an Executive Assistant, coordinator, or personal-assistant capacity preferred; equivalent experience will be considered.
- Strong written and verbal communication, and working proficiency with everyday productivity tools (Claude, ChatGPT, AI Tools, task managers, Google Docs/Forms, Microsoft / Google spreadsheets, presentations and Documents).
- This role is hybrid but may involve TRAVEL from time to time — only candidates genuinely open to travel should apply.
Submit your application through this portal. Shortlisted candidates will be invited to a phone screen, followed by an in-office assessment and a trial period before a final decision.
