Key Responsibilities
- Coordinate daily fleet operations to ensure timely vehicle availability and efficient transportation.
- Maintain accurate records of vehicle trips, fuel consumption, maintenance history, permits, insurance, registrations, and other statutory documents.
- Monitor vehicle servicing schedules and ensure preventive maintenance is carried out on time.
- Coordinate repairs and breakdown assistance to minimize vehicle downtime.
- Track vehicle fitness certificates, insurance renewals, pollution certificates, permits, and other compliance-related documents.
- Prepare daily, weekly, and monthly fleet operation reports, including vehicle utilization, fuel consumption, maintenance expenses, and performance metrics.
- Monitor transportation costs and identify opportunities to improve fleet utilization and operational efficiency.
- Coordinate with drivers regarding trip assignments, vehicle availability, maintenance schedules, and operational requirements.
- Verify fuel usage and mileage records, investigate discrepancies, and maintain proper documentation.
- Ensure compliance with company policies, road safety regulations, and statutory transportation requirements.
- Maintain accurate records of driver documentation, licenses, and vehicle allocation.
- Coordinate with vendors, service centers, fuel stations, and transport partners for smooth fleet operations.
- Support management by providing operational reports and recommendations for improving fleet performance.
Requirements
- Bachelor's degree in any discipline preferred.
- 1–3 years of experience in fleet coordination, transport operations, logistics, or a similar role.
- Knowledge of fleet management processes, vehicle maintenance, and transportation operations.
- Good understanding of vehicle documentation, permits, insurance, and statutory compliance.
- Proficiency in MS Excel and MS Office.
- Experience working with Fleet Management Systems (FMS), GPS tracking, or Transport Management Systems (TMS) is an added advantage.
- Strong organizational, communication, and coordination skills.
- Ability to work under pressure and manage multiple priorities.
