- Calendar & Schedule Management: Strategically manage the Founder’s complex calendar, prioritizing requests, scheduling meetings across time zones, and ensuring the Founder is fully prepared for every engagement.
- Relentless Follow-Ups: Act as a critical follow-up mechanism. Track deliverables from both internal teams and external partners, ensuring action items from meetings are executed on time.
- Communication & Inbox Triaging: Manage incoming communications (emails, messages, calls). Draft professional correspondence, field inquiries, and act as a reliable gatekeeper for the Founder's time.
- Task & Project Coordination: Track ongoing initiatives, manage task lists, and ensure deadlines are met. Gently but firmly prompt team members for updates on the Founder's behalf.
- Meeting Preparation: Attend key meetings to take comprehensive notes, distill action items, and distribute clear next steps to relevant stakeholders.
- Travel & Expense Management: Coordinate seamless domestic and international travel arrangements (itineraries, flights, accommodations) and manage expense reporting.
- Ad-Hoc Projects: Handle confidential administrative tasks and personal assistant duties as required to optimize the Founder's workflow.
Qualifications & Requirements
- Experience: Minimum 2+ years of professional experience as an Executive Assistant, Executive Coordinator, Project Coordinator, or in a strong Administrative background.
- Extreme Organization: A hyper-organized approach to work. You love systems, lists, and structure, and you possess the ability to maintain clarity amidst chaos.
- Execution Focus: Exceptional follow-up skills. You don't just send an email and forget about it; you track it until it is resolved.
- Communication Skills: Stellar written and verbal communication. You can draft executive-level emails and interface confidently with stakeholders at all levels.
- Discretion: Proven ability to handle highly confidential and sensitive business information with the utmost integrity.
- Tech Savviness: Proficiency with modern productivity tools (e.g., Google Workspace, Microsoft 365, Slack, Notion, Asana, or similar project management software).
