Position Overview
Koyeus is seeking a highly organized, proactive, and articulate Executive Assistant to provide comprehensive administrative and operational support to the Founder and senior leadership team. This role requires exceptional communication skills, outstanding organizational abilities, and the confidence to coordinate with clients, consultants, vendors, and internal teams while maintaining the highest standards of professionalism and confidentiality.
The ideal candidate will be detail-oriented, capable of managing multiple priorities simultaneously, and comfortable working in a dynamic, fast-paced design environment.
Key ResponsibilitiesExecutive Support
- Manage the Founder’s calendar, meetings, appointments, and travel schedules.
- Coordinate internal and external meetings, presentations, and client interactions.
- Prepare agendas, meeting minutes, and follow-up action trackers.
- Draft professional correspondence, reports, presentations, and business documents.
- Screen emails, calls, and communications, ensuring timely responses and prioritization.
Office & Administrative Management
- Maintain organized digital and physical records.
- Coordinate office operations and administrative activities.
- Support procurement of office supplies and vendor coordination.
- Manage confidential documents with discretion.
- Assist in organizing company events, workshops, and client meetings.
Client & Stakeholder Coordination
- Act as the first point of contact for clients and business partners.
- Coordinate communication with architects, consultants, contractors, vendors, and project teams.
- Schedule project review meetings and maintain communication records.
- Ensure exceptional client service standards at all times.
Project Coordination
- Assist in monitoring project timelines and deliverables.
- Follow up with internal teams regarding pending tasks and milestones.
- Prepare project status reports for management review.
- Maintain documentation related to ongoing projects.
Business Support
- Support proposal preparation, presentations, and business development activities.
- Assist with research for new business opportunities and strategic initiatives.
- Coordinate travel, accommodation, and logistics for business meetings.
Required Qualifications
- Bachelor's degree in Business Administration, Management, Architecture, Interior Design, Hospitality, or a related field.
- 2–5 years of experience as an Executive Assistant, Executive Coordinator, Office Manager, or similar role.
- Experience supporting senior executives is preferred.

- PDF editing software
Experience with project management tools such as Asana, Trello, ClickUp, or Monday.com is an advantage.
