About KAYU
KAYU Outdoor Collections supplies premium outdoor furniture to architects, designers, and clients, with production sourced across a cross-section of suppliers in Indonesia. Every project is bespoke — moving from design and quotation through production, quality control, shipping, and final delivery. The Head of Operations is the person who owns that journey end-to-end.
Role Summary
We are looking for a hands-on Head of Operations to take complete ownership of project delivery — from the moment an order is confirmed to the moment it lands with the client. You will manage multiple concurrent projects originating from different architects and clients, coordinate production across Indonesian suppliers, and ensure every order ships on time, on spec, and on budget. This is a high-accountability role for someone who thrives under pressure and treats every project as their own.
Key Responsibilities
Project & Order Management
- Own delivery of all live projects from order confirmation to final handover.
- Run multiple concurrent projects across different architects and clients without dropping detail.
- Maintain a single source of truth for project status, timelines, and milestones.
Supplier & Production Coordination (Indonesia)
- Manage relationships and day-to-day coordination with a cross-section of Indonesian suppliers.
- Place and track production orders, monitor build progress, and pre-empt delays.
- Drive quality control and ensure specifications, finishes, and materials match approved samples.
Logistics & Delivery
- Coordinate shipping, freight, customs, and inland transport from Indonesia to client sites.
- Manage timelines proactively and keep all stakeholders informed of any change.
Cost & Margin Control
- Track project costs against budget; flag and resolve variances early.
- Optimise sourcing, freight, and lead times to protect margin and delivery dates.
Client & Architect Liaison
- Be the dependable point of contact for delivery updates, issues, and resolutions.
- Translate design and client requirements into clear production briefs for suppliers.
Process & Team
- Build and tighten operational processes, trackers, and SOPs as the business scales.
- Coordinate across sales, design, and store teams to keep everyone aligned.
What We're Looking For
- 7–8 years of experience managing complex, multi-stakeholder operations end-to-end.
- Proven ability to handle multiple projects simultaneously under tight deadlines.
- Strong ownership mindset — takes full accountability for delivery, no excuses.
- Excellent coordination, follow-through, and problem-solving under pressure.
- Experience with overseas suppliers, manufacturing, logistics, or import/export is a strong plus; Indonesia exposure is a bonus.
- Sharp eye for quality, detail, and cost.
- Comfortable being hands-on, in-office, and on top of every moving part.
- EXCELLENT COMMUNICATION SKILLS: and a proven ability to communicate with desingers and architects will be a PLUS.
