Role Summary
This role is the operational nerve-center of the clinic and the first emotional touchpoint for clients. You will own the end-to-end front-office operations and ensure a seamless, premium, and empathetic experience from first contact to follow-up care.
This position requires someone who can balance people empathy + operational discipline + financial ownership.
Key Responsibilities
1) Client Experience & Relationship Management
- Be the primary point of contact for pet parents across phone, WhatsApp, emails and in-clinic interactions.
- Deliver warm, professional, and empathetic service during emotionally sensitive situations.
- Provide proactive waiting-time updates and manage expectations during clinical delays.
- Own the front-of-house experience including reception, waiting lounge, and overall clinic ambience.
- Handle escalations and convert concerns into positive experiences.
2) Appointment Planning & Clinic Operations
- Manage appointment scheduling and daily patient flow for consultations, chemotherapy, diagnostics, and surgeries.
- Optimize utilization of consultation rooms, treatment areas, and OT slots.
- Coordinate with doctors and technicians to ensure reports, diagnostics, and case files are ready before appointments.
- Maintain daily operational readiness of the clinic.
3) Billing, Payments & Administrative Ownership
- Handle invoicing, billing, and payment collection (UPI, cards, cash).
- Maintain accurate financial records and perform daily cash and payment reconciliation.
- Generate estimates and guide clients through treatment plans and documentation.
- Maintain organized patient records and clinic documentation.
4) Patient Care Coordination & Follow-ups
- Conduct post-treatment and post-visit follow-up calls.
- Support clients in understanding treatment plans and next steps.
- Ensure continuity of care through reminders, re-booking, and case tracking.
Required Qualifications & Skills
Education
Bachelor’s degree preferred.
Experience
- 1–4 years in premium healthcare, hospitality, aviation, wellness, or luxury retail environments.
- Experience in a specialty medical or veterinary clinic is a strong advantage.
Technical Skills
- Strong computer proficiency (MS Office, Google Workspace, WhatsApp Business)
- Comfortable learning Practice Management/CRM software quickly

Languages
