Role Overview
As the Logistics & Documentation Coordinator, you will be responsible for the end-to-end management of all material movements—international and domestic. Your primary objective is to ensure that every shipment, from miniature components to heavy machinery, reaches its destination securely, on time, and with 100% compliant documentation.
Key Responsibilities
1. Export & Import Management (EXIM)
· Export Dispatches: Manage the dispatch of spare parts and full machines, ranging from courier-sized parcels to Full Container Loads (FCL).
· Import Operations: Coordinate the arrival of machine parts and components from international suppliers.
· CHA Coordination: Act as the primary point of contact for Custom House Agents (CHA). You will provide all necessary documentation for customs clearance and track shipments until they are released and delivered.
· Compliance: Ensure all export/import paperwork (Shipping Bills, Bills of Lading, Commercial Invoices, Packing Lists, Certificates of Origin) is accurate to avoid legal or financial discrepancies.
2. Domestic Logistics (India-Wide)
· Customer Dispatches: Organize the transport of finished machines and spare parts to clients across India.
· Purchase & Processing Movement: Handle the logistics of "bought-out" items and parts sent to vendors for processing (job work). This includes managing a wide variety of sizes, from miniature items to large machine stands.
· Proof of Delivery (POD): Implement a rigorous system to collect and file delivery confirmations for every single movement.
3. System Implementation & Tracking
· Tracking Systems: Establish and maintain a robust tracking dashboard to monitor the real-time status of all "in-transit" goods.
· Inventory Security: You are responsible for ensuring that "nothing goes missing." This involves verifying quantities at the point of dispatch and receipt.
· Record Keeping: Maintain a digital and physical archive of all logistics-related documents for audit and reference purposes.
4. Internal Coordination & Communication
· Order Intake: Systematically receive and prioritize transport instructions from various internal departments (Production, Sales, Purchase).
· Stakeholder Management: Maintain professional and proactive communication with:
o Internal Teams: To align on dispatch readiness.
o Customers: To provide tracking updates and delivery schedules.
o Vendors/Transporters: To negotiate timelines and ensure service quality.Role Overview
