PROGRAMME COORDINATOR — ADMISSIONS & STUDENT SUCCESS

Salary: ₹30,000 – ₹32,000 per month
Reports To: Programme Head / Management
Experience: 1–4 years in academic coordination, student relations, admissions, or programme operations
ABOUT THE ROLE
Econstruct Design and Build Pvt Ltd runs a Master Study Programme that places trainees on live structural design projects involving tall buildings and complex structures, alongside structured hard-skill and soft-skill training.
We are looking for someone to own the entire non-technical side of the programme. You will be the single point of contact for every trainee from the moment they enquire to the day they are placed — managing their schedules, attendance, feedback, records, fees, and queries.
Our technical team teaches; you make sure everything around the teaching runs smoothly.
This role is ideal for someone who is organised, patient, responsible, and genuinely good with people — comfortable being supportive with a struggling student while also being firm and professional about pending fees or attendance.
KEY RESPONSIBILITIES
ADMISSIONS & NEW LEADS
- Respond to enquiries from prospective students through phone, email, and social media channels
- Follow up with leads systematically and maintain an updated lead tracker
- Explain programme structure, fees, and outcomes accurately to candidates and parents
- Coordinate admission formalities, documentation, and onboarding
- Plan and conduct orientation sessions for every incoming batch
SCHEDULING & CLASS COORDINATION
- Prepare and publish weekly timetables for hard-skill and soft-skill sessions in coordination with trainers and technical mentors
- Schedule exams, assessments, mock interviews, and presentation sessions
- Communicate schedules, changes, and reminders to trainees in advance
- Ensure trainers, classrooms, and required materials are ready before each session
ATTENDANCE & PERFORMANCE TRACKING
- Maintain daily attendance records for all trainees
- Track individual performance across assessments, projects, and soft-skill sessions
- Prepare and circulate periodic performance reports, results, and progress summaries
- Identify irregular or underperforming trainees at an early stage and escalate where required
STUDENT COUNSELLING & FOLLOW-UP
- Call and counsel trainees who are irregular, disengaged, or falling behind
- Understand the reasons behind performance or attendance issues and work with management on practical solutions
- Issue notices and warnings where required, professionally and with proper records
- Act as the first point of contact for general student queries and resolve or route them appropriately
FEEDBACK & REVIEWS
- Collect structured feedback from trainees on sessions, trainers, and the overall programme
- Collect feedback from trainers regarding trainee performance and attitude
- Consolidate feedback and present findings to management with suggested improvements
- Collect testimonials and reviews from graduating trainees
FEES & INVOICING
- Issue invoices and fee receipts to trainees
- Track pending payments and follow up through calls and messages
- Maintain accurate fee records
- Share payment status reports with management
PLACEMENT SUPPORT
- Share relevant job openings and references with eligible trainees
- Coordinate mock interviews and interview preparation sessions
- Maintain placement records and outcomes for each batch
RECORDS, DOCUMENTATION & SYSTEMS
- Maintain complete trainee records, including documents, photographs, certificates, and assessment history
- Prepare and distribute course completion certificates
- Upload and manage content, notices, schedules, and newsletters on Microsoft Teams and the LMS
- Ensure all records are accurate, updated, and audit-ready
SOCIAL MEDIA & EVENTS
- Capture and archive photographs and videos of sessions, site visits, and events
- Coordinate with the content team to publish programme events and trainee achievements on social media
- Maintain a record of all published content related to the Master Study Programme
REQUIREMENTS
- Graduate in any discipline; a background in education, administration, HR, or communications is an advantage
- 1–4 years of experience in coordination, admissions, student relations, or operations
- Strong spoken and written English
- Comfortable writing notices, reports, newsletters, and professional communication
- Fluency in Kannada and/or Hindi is a strong advantage
- Confident with MS Excel, Word, PowerPoint, and Microsoft Teams
- Comfortable learning and working with an LMS
- Excellent organisational and time-management skills
- Ability to manage multiple tasks and commitments simultaneously
- Comfortable making follow-up and counselling calls, including difficult conversations regarding attendance and pending fees
- Must be available to work full-time from our Bangalore office
PREFERRED
- Prior experience in a training institute, edtech company, coaching centre, or college administration
- Exposure to CRM or lead management tools
- Basic content creation or social media coordination experience
- Familiarity with the engineering or construction industry
WHAT SUCCESS LOOKS LIKE
- Every trainee knows their schedule well in advance without having to ask
- Attendance and performance data is updated regularly and not reconstructed at month-end
- No enquiry remains unanswered for more than 24 hours
- Fee follow-ups happen on time and professionally
- Management receives a clear and accurate picture of batch health every month
