Job Title: Personal Assistant to Director
Location: South Mumbai (near grant road) and August Kranti Marg, Maharashtra,
We are currently seeking a highly organized and proactive Personal Assistant to support our Director.
Position Overview:
The Personal Assistant to the Director will provide comprehensive administrative support, ensuring the Director’s day-to-day operations run smoothly. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. The ideal candidate will be a proactive problem solver with excellent communication skills and a strong ability to maintain confidentiality.
Key Responsibilities:
Administrative Support: Manage the Director’s calendar, including scheduling meetings, appointments, and travel arrangements. Ensure the Director is prepared for meetings with necessary materials and information.
Communication Management: Serve as the primary point of contact between the Director and internal/external stakeholders. Handle incoming calls, emails, and correspondence, prioritizing and responding as appropriate.
Meeting Coordination: Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
Household Staff Management: Supervise, train, and schedule household staff, including housekeepers, gardeners, chefs, and nannies.
Conduct performance reviews and provide feedback to staff. Handle hiring and termination of staff as needed.
Administrative Duties: Maintain household budgets, track expenses, and handle financial records. Pay household bills and manage household accounts. Keep an inventory of household supplies and ensure timely restocking.
Document Management: Prepare and edit reports, presentations, and other documents as needed. Maintain organized files and records for easy access.
Event Planning and Coordination: Plan, organize, and coordinate family events, parties, and gatherings. Arrange for catering, entertainment, and other event services. Ensure events run smoothly and meet the family’s expectations.
Project Assistance: Assist with special projects and initiatives as directed by the Director, including research, data analysis, and reporting.
Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times.
Office Management: Ensure the office environment is organized and efficient, including managing supplies and equipment.
Travel Coordination: Arrange travel logistics, including flights, accommodations, and itineraries, ensuring all travel plans align with the Director’s schedule. Traveling to the Bangalore office once every quarter.
Qualifications: *
Any Bachelor's degree in business administration, Communications, Hospitality, or a related field is preferred.
1-2+ years of experience as a personal assistant, executive assistant, or in a similar administrative role.
Exceptional time management skills, with the ability to prioritize tasks effectively.
Demography: Preferred Candidates who can commute to South Mumbai (Near Grant Road) and near to August Kranti Marg, Maharashtra***.
Skill Set:

Ability to manage budgets and financial records.
Proficiency in using office software and household management tools.
Strong written and verbal communication skills, with a professional demeanor.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Ability to work independently, demonstrating initiative and problem-solving skills.
High level of discretion and confidentiality in handling sensitive information.
Flexibility to adapt to changing priorities and work in a fast-paced environment.
Knowledge of event planning and coordination. Familiarity with local service providers and contractors.
Pay: ₹600,000.00 - ₹700,000.00 per year
