Academic Coordinator – Roles & Responsibilities

Reporting To: School Dean / Principal / Academic Head
1. Academic Planning & Curriculum
- Plan, coordinate, and monitor the academic activities of the school.
- Ensure effective implementation of the prescribed curriculum across all grades.
- Prepare and monitor academic calendars, lesson plans, assessments, and examination schedules.
- Ensure teachers complete the syllabus as per the planned academic schedule.
- Coordinate with teachers to identify and address curriculum-related challenges.
- Ensure age-appropriate and activity-based teaching methodologies are followed.
2. Teacher Coordination & Monitoring
- Supervise and coordinate the day-to-day academic work of teachers.
- Monitor teacher lesson plans, teaching schedules, worksheets, and classroom activities.
- Conduct regular classroom observations and provide constructive feedback.
- Identify training and development requirements of teachers.
- Support teachers in improving classroom management and teaching effectiveness.
- Ensure teachers follow school academic policies, procedures, and standards.
- Monitor teacher punctuality, attendance, academic discipline, and timely completion of assigned responsibilities.
3. Student Academic Progress
- Monitor the academic performance and overall learning progress of students.
- Review assessment results and identify students who require additional academic support.
- Coordinate remedial classes and enrichment activities wherever required.
- Work with teachers to prepare action plans for students with learning gaps.
- Monitor students' participation, discipline, classroom engagement, and academic development.
4. Assessments & Examinations
- Coordinate the planning and execution of periodic tests, examinations, and assessments.
- Ensure question papers, worksheets, answer scripts, and assessment records are prepared on time.
- Review assessment standards and ensure consistency across classes.
- Monitor evaluation and submission of marks within the prescribed timelines.
- Prepare academic performance reports and highlight areas requiring improvement.
5. Academic Documentation & Reporting
- Maintain accurate academic records and documentation.
- Collect and review daily/weekly/monthly academic reports from teachers.
- Prepare regular academic progress reports for the School Dean/Principal.
- Maintain records of syllabus completion, lesson plans, assessments, classroom observations, and teacher performance.
- Ensure all academic data is updated in the school's designated systems/HRMS/ERP, wherever applicable.
6. Classroom Observation & Quality Assurance
- Conduct regular classroom observations to assess teaching quality.
- Ensure teachers follow lesson plans and appropriate teaching methodologies.
- Check classroom displays, teaching-learning materials, student notebooks, and academic documentation.
- Identify gaps in teaching quality and implement corrective measures in consultation with the Academic Head.
- Promote continuous improvement in academic standards.
7. Teacher Meetings & Training
- Conduct regular academic meetings with teachers.
- Communicate academic instructions, schedules, deadlines, and management decisions to the teaching team.
- Organize internal training, workshops, and peer-learning sessions.
- Encourage sharing of best teaching practices among teachers.
- Follow up on action points discussed during academic meetings.
8. Parent & Student Coordination
- Coordinate with teachers regarding parent concerns related to academics.
- Support the School Dean/Principal during PTMs and academic interactions with parents.
- Address academic concerns professionally and escalate serious issues to the appropriate authority.
- Ensure timely communication regarding examinations, assessments, academic activities, and student progress.
9. School Activities & Events
- Coordinate academic events, competitions, projects, exhibitions, assemblies, and educational activities.
- Ensure teachers are assigned responsibilities for academic events and activities.
- Monitor the preparation and execution of inter-house/inter-school academic activities.
- Coordinate with the administration team for resources required for academic programs.
10. Teacher Performance Management
- Monitor teacher performance against defined academic expectations.
- Provide regular feedback and guidance to teachers.
- Identify consistently underperforming teachers and report concerns to the School Dean/Principal.
- Participate in teacher evaluations and performance reviews.
- Recommend appropriate training or corrective action wherever required.
11. Discipline & Academic Compliance
- Ensure teachers and students follow academic rules and school procedures.
- Maintain professional discipline within the academic department.
- Ensure academic activities are conducted according to school policies.
- Escalate serious academic, behavioural, or disciplinary concerns to the School Dean/Principal.
12. Coordination with Management
- Act as the primary academic coordination point between teachers and school management.
- Provide timely updates on academic progress, challenges, teacher performance, and student performance.
- Implement instructions given by the School Dean/Principal/Management.
- Participate in management meetings whenever required.
- Take ownership of academic targets and ensure timely execution of assigned responsibilities.

The Academic Coordinator may be evaluated based on:
- Syllabus completion percentage
- Teacher lesson-plan compliance
- Classroom observation and teaching quality
- Student academic performance
- Assessment/examination completion within timelines

Pay: ₹30,000.00 - ₹40,000.00 per month
