Transport Manager – Duties & Responsibilities
Key Responsibilities
1. Fleet Management
- Manage daily transportation operations and vehicle movements.
- Ensure all vehicles are properly maintained, serviced, insured, and roadworthy.
- Monitor fuel consumption, mileage, and vehicle utilization.
- Coordinate vehicle breakdown support and emergency assistance.
2. Vehicle Service Coordination
- Coordinate periodic vehicle servicing and preventive maintenance schedules.
- Ensure timely servicing, oil changes, tyre replacement, and repairs for all vehicles.
- Liaise with authorized service centres, mechanics, and vendors for maintenance activities.
- Monitor vehicle downtime and ensure quick turnaround for repairs.
- Maintain service history records, AMC details, and maintenance documentation.
- Verify service quality and ensure vehicles are safe and roadworthy after maintenance.
- Track spare parts usage and coordinate procurement when required.
- Ensure breakdown vehicles are attended promptly and service support is arranged immediately.
- Monitor maintenance costs and control unnecessary repair expenses.
- Conduct regular inspections to identify maintenance issues proactively.
3. Driver Management
- Supervise drivers, cleaners, and transport staff.
- Prepare driver duty schedules and route allocations.
- Verify driving licenses, badges, and statutory documents.
- Monitor driver behaviour, discipline, attendance, and performance.
- Conduct safety briefings and training programs.
4. Route & Trip Planning
- Plan efficient transportation routes and schedules.
- Ensure timely dispatch and delivery of materials/passengers.
- Optimize vehicle usage to reduce transportation costs.
- Track trip status and monitor delays or route deviations.
5. Compliance & Documentation
- Maintain transport-related records and statutory documents.
- Ensure compliance with RTO, road safety, and government regulations.
- Handle permits, FC, insurance, pollution certificates, and tax renewals.
- Maintain trip sheets, logbooks, and vehicle inspection reports.
6. Cost Control & Budgeting
- Control transportation expenses including fuel, maintenance, tolls, and repairs.
- Monitor vendor bills and transportation costs.
- Prepare transport MIS reports and monthly expense statements.
- Identify cost-saving opportunities and operational improvements.
7. Safety Management
- Ensure implementation of road safety standards and company policies.
- Conduct regular vehicle safety inspections.
- Investigate accidents and prepare incident reports.
- Ensure compliance with EHS (Environment, Health & Safety) standards.
8. Vendor & Customer Coordination
- Coordinate with transport vendors and external fleet providers.
- Negotiate transport rates and service agreements.
- Communicate with internal departments regarding dispatch schedules and delivery updates.
- Handle customer complaints related to transportation issues.
9. Reporting & Administration
- Prepare daily, weekly, and monthly transport reports.
- Monitor KPIs such as vehicle uptime, fuel efficiency, and on-time delivery.
- Maintain inventory of spare parts and transport consumables.
- Support management with transport planning and operational decisions.

Preferred Qualification
- Diploma / Degree in Mechanical, Automobile, Logistics, or related field.
- Minimum 10–12 years of experience in transport or fleet operations.
- Experience in handling commercial vehicles/trucks/buses is preferred.
