Job Summary
The Receptionist is responsible for providing a professional and courteous first point of contact for patients, visitors, consultants, and other stakeholders. The role includes patient registration, appointment scheduling, handling enquiries, managing telephone calls, coordinating with clinical and non-clinical departments, and ensuring a smooth patient experience while maintaining confidentiality and accuracy.
Key ResponsibilitiesPatient Reception & Registration
- Welcome patients, visitors, and attendants in a polite and professional manner.
- Register new patients and update existing patient records in the Hospital Information System (HIS).
- Verify patient details and ensure all required information is accurately recorded.
- Guide patients to the appropriate department, consultant, or service area.
Appointment Management
- Schedule, reschedule, and cancel appointments based on consultant availability.
- Coordinate appointment timings with doctors and clinical departments.
- Inform patients of any schedule changes or delays.
- Maintain an organized appointment calendar.
Communication & Customer Service
- Attend incoming telephone calls and respond to patient enquiries promptly.
- Provide accurate information regarding hospital services, consultants, visiting hours, and procedures.
- Handle patient concerns professionally and escalate unresolved issues to the appropriate authority.
- Maintain excellent customer service standards at all times.
Billing & Payment Coordination
- Direct patients to the billing counter for consultation, diagnostic, and admission payments.
- Coordinate with the billing department regarding patient enquiries.
- Verify payment-related documents whenever required.
Coordination with Hospital Departments
- Coordinate with consultants, nursing units, laboratory, radiology, pharmacy, billing, and other departments for smooth patient flow.
- Communicate appointment updates and operational information to relevant departments.
- Assist in coordinating patient admissions and transfers when required.
Records & Documentation
- Maintain accurate patient records and registration documents.
- Ensure confidentiality of patient information in accordance with hospital policies.
- Prepare daily registration and appointment reports as required.
- Maintain proper filing of forms and administrative documents.
Administrative Responsibilities
- Maintain cleanliness and organization of the reception area.
- Monitor visitor movement and ensure compliance with hospital policies.
- Assist in handling courier deliveries and official correspondence.
- Support Front Office operations during peak hours and emergencies.
- Perform any other duties assigned by the reporting manager.
Educational Qualification
- Bachelor's Degree in any discipline.
- Diploma or certification in Front Office Management, Hospital Administration, or Customer Service is preferred.
Experience
- 1–3 years of experience as a Receptionist, Front Office Executive, or Customer Service Executive.
- Experience in a hospital or healthcare setting is preferred.
Required Skills
- Excellent verbal and written communication skills.
- Strong customer service and interpersonal skills.
- Knowledge of Hospital Information System (HIS) or similar software.
- Basic proficiency in Microsoft Office (Word, Excel, Outlook).
- Good telephone etiquette.

Pay: ₹12,000.00 - ₹20,000.00 per month
