Job Overview
We are seeking an experienced and dynamic Head – Operations to lead and oversee the complete operational execution of Events, Exhibitions, Corporate Activations, Trade Shows, and Fabrication Projects. The ideal candidate should possess strong leadership skills, deep industry knowledge, and hands-on experience in managing end-to-end event operations, production planning, vendor management, fabrication execution, logistics coordination, and project delivery.
This role requires the ability to ensure seamless project execution while maintaining quality standards, timelines, client satisfaction, and profitability.
Key Responsibilities
Operations Planning & Execution
- Lead end-to-end execution of exhibitions, corporate events, experiential activations, and trade shows.
- Develop operational strategies to ensure efficient project delivery across multiple locations.
- Monitor project schedules, resource allocation, production timelines, and site execution activities.
- Ensure all projects are completed within budget, timeline, and quality standards.
- Manage exhibition setup, dismantling, venue coordination, and on-site operations.Production & Fabrication Management
- Oversee fabrication workshops, production teams, and installation crews.
- Ensure fabrication drawings, BOQs, material procurement, and production schedules are aligned with project requirements.
- Monitor quality control processes for stalls, kiosks, pavilions, and event structures.
- Coordinate with design teams to convert concepts into practical execution plans.
- Optimize production efficiency and resource utilization.Vendor & Supply Chain Management
- Develop and maintain relationships with vendors, contractors, suppliers, transport partners, and venue authorities.
- Negotiate pricing and service agreements to achieve cost optimization.
- Ensure timely procurement and delivery of materials and event assets.
- Evaluate vendor performance and maintain approved vendor databases.Team Leadership & Resource Management
- Lead and mentor operations, production, warehouse, logistics, and project execution teams.
- Allocate manpower and resources based on project requirements.
- Conduct regular performance reviews and operational meetings.
- Foster a culture of accountability, safety, teamwork, and continuous improvement.Client & Stakeholder Coordination
- Collaborate with Business Development and Client Servicing teams to understand client expectations and project requirements.
- Participate in client meetings for operational planning and execution discussions.
- Provide operational solutions and recommendations to enhance project outcomes.
- Ensure exceptional client satisfaction through flawless execution.Logistics & Site Management
- Manage transportation, warehousing, inventory control, and material movement.
- Ensure compliance with venue regulations, safety requirements, and statutory approvals.
- Supervise installation and dismantling activities across event locations.
- Resolve on-site operational challenges effectively and proactively.Budgeting & Cost Control
- Prepare operational budgets and monitor project expenditures.
- Identify opportunities for cost reduction without compromising quality.
- Track project profitability and operational efficiency metrics.
- Ensure adherence to approved budgets and financial controls.Reporting & Compliance
- Prepare operational reports, project status updates, resource utilization reports, and management dashboards.
- Implement and maintain SOPs for operational excellence.
- Ensure compliance with safety standards, labor regulations, and company policies.
- Drive continuous process improvements and operational best practices.
Required Skills & Qualifications
- Minimum 12 years of overall experience with at least 8 years in Events & Exhibitions Operations.
- Proven experience managing large-scale exhibitions, trade shows, corporate events, and fabrication projects.
- Strong understanding of event production, exhibition fabrication, logistics, warehousing, and site execution.
- Excellent leadership and team management skills.
- Strong vendor management and negotiation capabilities.
- Ability to manage multiple projects simultaneously under tight deadlines.
- Excellent communication and stakeholder management skills.
- Proficiency in Microsoft Office, Project Planning Tools, and ERP/Operations Management Systems.
- Strong budgeting, cost control, and operational planning expertise.
