Job Title: Office Coordinator
Reports to: MD / Assigned Senior (task-dependent)
Location: Bangalore, with regular external visits to government offices, banks, and associated business locations
Role Summary
The Office Coordinator is the group's operational point person for documentation, liaison, and coordination work that spans across all four entities. This role requires someone comfortable switching between deskwork (formatting, filing, MIS) and fieldwork (government offices, banks, vendor/associate visits), with the judgment to represent the group professionally in every setting, the street smarts to get things done efficiently in unfamiliar systems, and the discipline to follow up relentlessly and report back clearly.
Key Responsibilities
1. Documentation & MIS
- Format, draft, and organize documents in Word, Excel, and PowerPoint to a professional standard
- Prepare presentations, reports, and letters as assigned by the MD or seniors
- Maintain accuracy and consistency in formatting across all group documents
2. Government Liaison
- Visit government offices (BBMP, BIAAPA, Sub-Registrar, RERA, and others as required) to file, follow up, and collect paperwork
- Understand the process/workflow within each office well enough to know what's needed, who to approach, and where a file is likely stuck
- Track the status of pending applications/approvals and follow up persistently — not a one-time visit and wait, but repeated, well-timed follow-ups until closure
- Provide timely, clear updates to the MD or the person who assigned the task — including any delays or issues encountered
3. Banking & Business Errands
- Handle bank visits — deposits, document submission, KYC-related paperwork, collection of instruments, and similar tasks
- Visit other business-associated locations (vendors, consultants, associates) as required for document exchange or coordination
4. Document Handling & Filing
- Maintain physical and digital filing of documents assigned to him, in an organized and retrievable manner
- Ensure originals and copies are tracked and not misplaced, especially for government and legal paperwork
5. Stakeholder Communication
- Communicate professionally and effectively with a wide range of stakeholders — government officials, bank staff, vendors, consultants, and internal team members
- Read a situation and adapt approach depending on who he's dealing with — an official, a banker, a vendor — without losing professionalism
- Represent the group appropriately in every external interaction
6. General Coordination & Supervision
- Take on ad hoc coordination tasks as they arise — genuinely "multiple hats" depending on what the day requires
- Supervise specific activities or tasks as assigned (e.g., overseeing a vendor delivery, coordinating a small on-ground activity) without needing constant direction
Required Skills & Attributes
- Strong working knowledge of MS Word, Excel, and PowerPoint (formatting, basic formulas, clean presentation output)
- Street smart — able to navigate unfamiliar offices, systems, and people, find the right person/desk, and get work done without being an easy target for unnecessary delay or exploitation
- Strong with follow-ups — persistent and organized about chasing pending work to closure; doesn't let things sit
- Process understanding — grasps how government/banking systems and paperwork actually move, so time isn't wasted on wrong steps or wrong offices
- Fluent in Kannada and English — both spoken and written; Kannada fluency is essential for government office and local liaison work, English for documentation and reporting
- Good verbal and written communication — able to hold a coherent conversation with an official, a banker, and a vendor in the same day
- High ownership — follows through on tasks without needing to be chased
- Organized and detail-oriented, particularly with physical document handling
- Willingness to travel locally through the day; own two-wheeler preferred for mobility between locations
- Trustworthy with sensitive/original documents and confidential information
Qualification
- Graduate or Diploma holder (B.Com, B.A., or equivalent); relevant work experience in an administrative/coordination/liaison role will be considered alongside formal qualification
Reporting Expectation
- Daily or task-wise status update to the MD or assigning senior — what was done, what's pending, and any blockers
- Should flag delays or problems proactively rather than only when asked
Pay: ₹20,000.00 - ₹30,000.00 per month
