- Forecast fabric, trim, and material needs from the order pipeline and production plan, and maintain stock that avoids both shortages and overbuying.
- Set reorder points and safety stock for core fabrics; track all materials by type, shade, dye lot, GSM, width, and supplier.
- Manage trims and consumables (buttons, zippers, threads, linings, labels) and packaging materials.
- Coordinate RFD (ready-for-dyeing) fabric with dyeing and keep dye-lots consistent so shades don't vary within an order.
- Prepare order packets with all the correct raw materials, ready for the production team to use.
- Keep packet-making free of bottlenecks — prepare each packet as soon as it is needed so production is never left waiting.
- Inspect incoming fabric and materials against spec sheets (shade, weave, GSM, width, shrinkage, defects); be strict on shade and quality, and manage vendor rejections and returns.
- Follow up proactively with vendors on order status and delivery, resolve delays before they affect production, and negotiate price, MOQs, and lead times.
- Maintain a vendor database with performance records and develop backup vendors to avoid single-source risk.
- Keep accurate inventory records and a clean coding system; run regular cycle counts and reconcile recorded stock against actual stock.
- Track fabric waste (katran/offcuts) and work with cutting and production to minimise it, in line with our sustainability commitments.
- Coordinate with production, grading, design, and customer service on material availability, and continuously look for ways to cut waste, cost, and inefficiency.
