About the Role:-
We are looking for a proactive, responsible, and people-oriented HR & Admin Executive / HR Generalist to manage the day-to-day HR and administrative operations of our organization.
This role is ideal for someone who can work independently, take ownership of responsibilities, handle employees confidently, coordinate with management, and ensure that the office runs smoothly on a daily basis.
The ideal candidate should be comfortable wearing multiple hats from recruitment and employee support to attendance, payroll coordination, office administration, asset management, vendor coordination, and handling unexpected day-to-day requirements.
You will be the go-to person for HR, employees, management, and general office-related requirements.
Key Responsibilities:--
HR Operations
- Manage day-to-day HR operations and employee-related activities.
- Handle employee attendance, leave records, and biometric systems.
- Monitor employee attendance and ensure compliance with company policies.
- Prepare and maintain HR records, employee files, and documentation.
- Coordinate payroll inputs, salary-related information, incentives, deductions, and other payroll requirements.
- Handle employee onboarding and offboarding processes.
- Prepare offer letters, appointment letters, confirmation letters, experience letters, relieving letters, and other HR documents.
- Maintain employee databases and HR records accurately.
- Assist with PF, ESIC, and other basic statutory compliance-related activities.
- Address employee queries, concerns, and grievances professionally.
- Provide employee support and maintain a positive workplace environment.
- Assist employees with HR-related and workplace concerns.
- Prepare and issue employee ID cards and maintain related records.
Recruitment & Hiring
- Manage end-to-end recruitment activities for various positions.
- Source candidates through job portals, recruitment platforms, colleges, references, and other channels.
- Screen CVs and conduct initial candidate screening.
- Schedule and conduct interviews as required.
- Coordinate interview rounds with management.
- Manage candidate communication and follow-ups.
- Coordinate documentation and joining formalities for selected candidates.
- Maintain recruitment trackers and hiring records.
Administration & Office Management
- Take complete ownership of day-to-day office administration.
- Ensure the office is clean, organized, functional, and properly maintained.
- Manage office supplies, stationery, pantry requirements, and other administrative requirements.
- Coordinate with housekeeping, maintenance teams, vendors, and service providers.
- Handle office-related bills, invoices, and vendor coordination.
- Ensure timely resolution of office maintenance and operational issues.
- Coordinate office cleaning, repairs, maintenance, and general upkeep.
- Manage seating arrangements and coordinate workspace requirements.
- Organize and coordinate office events, employee activities, client visits, meetings, and other company activities.
- Act as the primary point of contact for unexpected office requirements and ensure issues are resolved promptly.
Asset & Resource Management
- Maintain records of company assets including laptops, computers, monitors, headphones, keyboards, chairs, and other office equipment.
- Manage allocation and tracking of employee assets.
- Coordinate laptop/device/accessory requirements for new and existing employees.
- Coordinate with IT/service providers for repairs, troubleshooting, replacements, and maintenance.
- Manage and coordinate Wi-Fi, internet, and network-related issues with the relevant service providers.
- Ensure employees have the required equipment and resources to perform their jobs effectively.
- Maintain accurate asset records, handover documentation, and records of Wi-Fi, internet, and network-related issues and resolutions.
Employee & Workplace Management
- Monitor employee breaks and workplace discipline.
- Ensure employees follow company policies regarding attendance, ID cards, workplace conduct, and other internal rules.
- Verify timesheets and coordinate with relevant teams for corrections.
- Verify employee incentive information and coordinate with management.
- Assist in maintaining a professional and positive workplace environment.
- Handle employee concerns with maturity, confidentiality, and empathy.
- Support employee engagement activities, celebrations, group activities, and internal events.
- Act as a reliable point of contact for employees across both day and night shifts.
Management Support
- Coordinate with the CEO, Director, and management on administrative and HR requirements.
- Maintain and manage the CEO/Director's calendar.
- Schedule meetings, appointments, and internal discussions.
- Coordinate meeting arrangements and ensure relevant participants are informed.
- Assist management with HR, employee, administrative, and operational requirements.
- Handle confidential employee and company information responsibly.
What We Are Looking For
- 2–5 years of experience in HR, HR Administration, HR Generalist, or a similar role.
- Strong understanding of HR operations and administration.
- Experience in recruitment and interview handling.
- Basic knowledge of payroll, PF, ESIC, and statutory compliance.
- Good understanding of attendance, leave, employee documentation, and HR processes.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Ability to handle employees professionally and confidently.
- Good problem-solving and decision-making abilities.
- Strong follow-up skills and attention to detail.
- Ability to work independently and take ownership of responsibilities.
- Comfortable handling confidential information.
- Proficiency in MS Office / Google Workspace and HR-related tools.
- Prior experience in a BPO, outsourcing, or fast-paced office environment will be an advantage.
