Job Title: Dispatch Manager – Food Manufacturing

Role Purpose
We are looking for a highly responsible and hands-on Dispatch Manager to ensure timely, accurate, and cost-effective dispatch of finished goods from our factory. The person will coordinate daily with local transporters, warehouse, sales, and production teams to dispatch the maximum ready stock every day without errors or delays.
Key Responsibilities
- Plan and execute daily dispatches based on ready stock, sales orders, delivery commitments, and vehicle availability.
- Coordinate with local transporters, tempo operators, courier partners, and loading teams for timely vehicle placement and delivery.
- Negotiate transport rates and optimize route planning, vehicle utilization, and loading capacity to reduce dispatch costs.
- Ensure maximum quantity of ready goods is dispatched every day on time.
- Verify every dispatch before loading, including:
- Correct product and SKU
- Correct quantity and weight
- Proper batch number and expiry details
- Correct customer name, address, and invoice
- Proper packing condition and carton count
- Required transport documents and e-way bill, where applicable
- Ensure goods are loaded safely to avoid damage, shortage, leakage, or mixing of customer orders.
- Maintain a daily dispatch plan, vehicle status, transporter details, freight cost, dispatch quantity, pending orders, and delivery status.
- Follow up with transporters until proof of delivery (POD) is received.
- Coordinate with the sales team regarding priority orders, urgent deliveries, shortages, delays, and customer-specific dispatch requirements.
- Coordinate with production and warehouse teams to ensure finished goods are available, properly stacked, and ready for dispatch.
- Handle dispatch-related customer complaints, shortages, damages, and delivery delays; ensure quick resolution.
- Maintain proper records of invoices, LR copies, e-way bills, freight bills, PODs, returns, damages, and transporter payments.
- Monitor pending dispatches daily and escalate critical delays immediately.
- Ensure warehouse and dispatch-area discipline, cleanliness, stock-handling safety, and proper loading practices.
Candidate Requirements
- Graduate preferred; diploma or degree in logistics, supply chain, warehouse management, or operations is an advantage.
- Minimum 3–6 years of experience in dispatch, logistics, warehouse, FMCG, food, or manufacturing operations.
- Strong experience coordinating with local transporters and managing daily vehicle movements.
- Good understanding of invoices, e-way bills, LRs, PODs, freight calculations, and dispatch documentation.
- Strong knowledge of Excel and basic ERP/software for dispatch and stock records.
- Able to work under pressure and manage urgent, high-volume dispatches.
- Good communication, negotiation, coordination, and problem-solving skills.
- Must be disciplined, detail-oriented, and comfortable working hands-on on the warehouse/factory floor.
