Job Title: Order Management Executive
Location: Visakhapatnam
Reporting To: Operations Manager / Head – Order Management
Experience: 2–5 Years
Industry Preference: Aluminium Composite Panel (ACP) / Building Materials / Manufacturing
JOB PURPOSE
To manage the complete order processing cycle from receipt of customer orders to final dispatch, ensuring accurate order entry, stock availability, production coordination, dispatch planning, and timely delivery. The ideal candidate should have prior experience as an ACP Warehouse In-Charge and possess strong knowledge of ACP products, stock management, dispatch processes, and coordination with sales and production teams.
KEY RESPONSIBILITIES1. Order Processing & Management
- Receive and verify customer/dealer orders from the Sales Team.
- Check order details including customer name, product, colour, finish, thickness, size, quantity, and delivery location.
- Enter and maintain customer orders accurately in ERP/SAP/Order Management System.
- Verify pricing, approved rates, credit status, and other order requirements before processing.
- Track orders from order confirmation to dispatch and delivery.
- Maintain an updated Order Status Tracker.
2. Stock Availability & Allocation
- Check physical and system stock availability against incoming orders.
- Coordinate with the warehouse team for ACP panel/coil stock verification.
- Allocate available stock against confirmed orders.
- Identify stock shortages, excess stock, and reserved materials.
- Coordinate with Purchase/Production for products that are not available in stock.
- Ensure accurate reconciliation between system stock and physical stock.
3. ACP Product Knowledge
- Maintain good knowledge of ACP products, including:
- PVDF ACP
- FR ACP
- A2 Fire Rated ACP
- Different thicknesses and sizes
- Colours and finishes
- Standard and customized requirements
- Understand ACP packing, handling, storage, and dispatch requirements.
- Verify product specifications before order confirmation and dispatch.
4. Production Coordination
- Coordinate with the Production Team for pending/short-stock orders.
- Share production requirements based on confirmed customer orders.
- Follow up on production schedules and expected completion dates.
- Communicate production delays or changes to the concerned teams.
- Prioritize orders based on customer commitments and management requirements.
5. Dispatch & Logistics Coordination
- Prepare and coordinate daily dispatch plans.
- Coordinate with the warehouse and logistics teams for timely loading and dispatch.
- Verify dispatched quantity against the approved order.
- Coordinate preparation of Delivery Challans, invoices, packing lists, and dispatch documents.
- Track vehicle placement, loading, and dispatch status.
- Follow up with transporters for timely delivery.
- Update Sales and management regarding dispatch and delivery status.
6. Sales Coordination
- Act as a coordination point between Sales, Warehouse, Production, Accounts, and Logistics.
- Provide sales teams with real-time updates on:
- Stock availability
- Order status
- Production status
- Dispatch status
- Expected delivery date
- Highlight order-related issues and delays immediately.
- Coordinate with Sales for changes, cancellations, quantity revisions, and urgent orders.
7. Documentation & MIS
- Maintain accurate order records and supporting documents.
- Prepare daily/weekly Order Status Reports.
- Prepare pending order and dispatch reports.
- Track Order-to-Dispatch (OTD) timelines.
- Maintain records of cancelled, hold, pending, and partially dispatched orders.
- Prepare stock requirement reports based on pending orders.
- Support management with order and inventory-related MIS.
REQUIRED SKILLS
- Strong knowledge of ACP warehouse and inventory operations.
- Previous experience as an ACP Warehouse In-Charge is highly preferred.
- Good understanding of ACP products and specifications.
- Strong order processing and coordination skills.
- Good knowledge of Excel – VLOOKUP/XLOOKUP, Pivot Tables, filters, sorting, etc.
- ERP/SAP experience preferred.
- Strong follow-up and problem-solving ability.
- Good communication and interpersonal skills.
- Strong attention to detail.
- Ability to manage multiple orders simultaneously.
- Ability to work under pressure and meet dispatch deadlines.
QUALIFICATION
Graduate / Diploma in Logistics, Supply Chain, Commerce, Operations, or any relevant discipline.
PREFERRED EXPERIENCE
Candidates with experience in ACP / Aluminium / Building Materials / Manufacturing / Construction Material industries will be preferred.

Pay: ₹9,191.10 - ₹47,001.92 per month
