Job Title: Accounts & Project Administration Associate
Location: Bengaluru
We are seeking a proactive and detail-oriented Accounts & Project Administration Associate to support the finance and project execution teams. The ideal candidate should have experience in construction accounting, contractor billing, project documentation, and office administration. This role requires strong organizational skills and the ability to coordinate with project engineers, vendors, subcontractors, clients, and consultants.
Key Responsibilities
Accounts & Finance
- Maintain day-to-day accounting records using Tally Prime/ERP.
- Prepare and record payment vouchers, receipts, journal entries, and bank transactions.
- Process vendor and subcontractor bills after verification.
- Maintain accounts payable and receivable.
- Perform bank reconciliations and petty cash management.
- Assist in GST, TDS, PF, ESI, Professional Tax, and other statutory compliance.
- Coordinate with Chartered Accountants for monthly and annual financial reporting.
Project Accounts & Billing
- Prepare and verify contractor running account (RA) bills and final bills.
- Assist in preparing client bills based on work completed.
- Maintain project-wise cost sheets and expenditure records.
- Track project budgets, billing status, advances, recoveries, and outstanding payments.
- Coordinate with site engineers for measurement books (MB), billing quantities, and work progress.
- Maintain records of retention money, security deposits, and mobilization advances.
BOQ & Work Order Management
- Prepare and maintain Bills of Quantities (BOQs).
- Generate and maintain work orders, purchase orders, and subcontract agreements.
- Compare quotations and assist in procurement documentation.
- Maintain revisions of BOQs, work orders, and contract documents.
- Monitor material receipts and supplier invoices against purchase orders.
Vendor & Administrative Coordination
- Coordinate with vendors, suppliers, subcontractors, and clients regarding payments and documentation.
- Maintain project files, agreements, statutory documents, and correspondence.
- Prepare MIS reports, project summaries, and payment schedules.
- Handle office administration, document filing, and inventory management.
- Support management with project documentation, tender submissions, and compliance records.
Qualifications
- B.Com, M.Com, MBA (Finance), or equivalent qualification.
- 2–5 years of experience in construction, infrastructure, EPC, or contracting companies.
- Proficiency in Tally Prime, Microsoft Excel (Advanced), Word, and Outlook.
- Knowledge of BOQs, RA Bills, Work Orders, Purchase Orders, GST, TDS, and project accounting.
- Strong analytical, communication, and organizational skills.
- Ability to work independently and meet project deadlines.
Preferred Skills
- Experience in government infrastructure projects (PWD, BWSSB, KNNL, KUWSDB, BBMP, CPWD, or similar).
- Familiarity with tender documentation and e-procurement processes.
- Knowledge of ERP software and advanced Excel functions (Pivot Tables, VLOOKUP/XLOOKUP, MIS reporting).
- Ability to read engineering drawings and understand project quantities will be an added advantage.
