Job Title: Executive Assistant to Director
Job Summary:
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the Director in administrative, operational, and coordination tasks. The ideal candidate should have experience in the interior design or architecture industry and the ability to manage multiple priorities with discretion and professionalism.
Key Responsibilities:
Administrative Support:
- Manage the Director’s calendar, including scheduling meetings, appointments, and travel.
- Draft, review, and manage correspondence and internal communication.
- Maintain and organize important documents, records, and files.
Project Coordination:
- Coordinate with internal teams (Design, Procurement, Site Execution) on behalf of the Director.
- Track project progress, follow up on tasks, and ensure timely updates.
- Assist in reviewing drawings, BOQs, and project timelines (basic understanding required).
Client & Vendor Coordination:
- Liaise with clients and vendors for meetings, documentation, and updates as directed.
- Handle communication and follow-ups in a professional manner.
Meeting Support:
- Prepare meeting agendas, record minutes, and follow up on action points.
- Ensure smooth execution of internal and external meetings.
Confidentiality & Discretion:
- Handle sensitive information with a high level of integrity and confidentiality.
Requirements:
- Bachelor’s degree (preferred: Business Administration, Interior Design, or related field).
- 2–5 years of experience as an Executive Assistant or in a similar role (preferably in design/construction).
- Excellent communication and interpersonal skills.
- Proficiency in MS Office (Word, Excel, PowerPoint) and scheduling tools.
- Strong organizational, multitasking, and time management abilities.
Preferred Skills:
- Basic knowledge of interior design processes and terminology.
- Experience in handling client and vendor coordination.
- Strong problem-solving skills and adaptability.
Work Environment:
- Full-time, office-based role.
- Occasional travel or site visits may be required.
- Fast-paced, dynamic work environment with direct exposure to leadership.
Job Types: Full-time, Permanent
Pay: ₹400,000.00 - ₹550,000.00 per year
