The Admin professional is responsible for ensuring smooth day-to-day operations of the office, managing administrative tasks, supporting staff requirements, coordinating facility services, and maintaining an efficient work environment.
Manage office premises, cleanliness, and upkeep.
Coordinate with housekeeping, security, and maintenance teams.
Ensure availability and maintenance of office supplies, stationery, and equipment.
Handle repair & maintenance activities with vendors (electrical, plumbing, IT support, etc.).
Manage visitor entry, reception, and front-desk operations.
Handle incoming/outgoing mail, courier, and communication logs.
Prepare letters, reports, purchase requests, and documentation.
Identify vendors for office supplies, services, and contracts.
Negotiate quotations, compare proposals, and prepare purchase orders.
Track vendor performance and manage AMC (Annual Maintenance Contracts).
Arrange employee travel, accommodation, and transportation.
Maintain travel records, bookings, and expense reports.
Coordinate company vehicle management (fuel logs, driver schedules, service records).
Maintain administrative records, bills, agreements, and licenses.
Ensure compliance with safety standards, statutory norms, and audit requirements.
Assist with asset inventory and monitoring.
Coordinate internal meetings, conferences, and company events.
Make arrangements for refreshments, equipment setup, and logistics.
Assist with onboarding formalities, ID card processing, and induction support.
Maintain attendance reports and employee database updates.
Bachelor’s degree in any discipline.
1–5 years of experience in administration (depending on level).
Strong communication, coordination, and multitasking abilities.
Proficiency in MS Office (Excel, Word, PowerPoint).
Knowledge of vendor management and basic accounting preferred.
