Position: Office Accountant
Department: Accounts & Administration
Key Responsibilities1. Accounts & Finance
- Maintain day-to-day accounting transactions in accounting software.
- Prepare and record sales invoices, purchase bills, debit notes, and credit notes.
- Manage accounts receivable and accounts payable.
- Perform bank reconciliations and maintain cash and bank books.
- Monitor customer collections and vendor payments.
- Maintain accurate financial records and supporting documents.
2. Sales & Purchase Accounting
- Prepare sales invoices and ensure timely billing.
- Verify purchase invoices with purchase orders and goods received.
- Maintain customer and supplier ledgers.
- Reconcile customer outstanding balances and vendor statements.
- Coordinate with the sales and purchase teams regarding documentation and payment status.
3. GST Compliance
- Verify GST applicability on sales and purchase transactions.
- Reconcile GSTR-2B with purchase registers.
- Reconcile GSTR-1, GSTR-3B, and books of accounts.
- Identify GST mismatches and coordinate with suppliers for corrections.
- Prepare complete GST working papers and supporting documents for the Chartered Accountant.
- Ensure all GST records are maintained accurately and on time.
4. Coordination with Chartered Accountant
- Prepare monthly accounting data for GST return filing.
- Provide books of accounts, ledgers, reconciliation statements, and statutory reports as required.
- Assist in annual audit, income tax, and statutory compliance documentation.
- Coordinate with the Chartered Accountant for resolving accounting and taxation queries.
5. Store & Inventory Management
- Maintain inventory records and stock registers.
- Record inward and outward movement of materials.
- Verify stock against purchase and sales documents.
- Monitor minimum stock levels and report shortages.
- Coordinate periodic physical stock verification.
- Assist in maintaining inventory accuracy and valuation records.
6. Payment Management & Follow-ups
- Prepare payment schedules for suppliers.
- Follow up with customers for outstanding receivables.
- Track due dates for customer collections and vendor payments.
- Maintain ageing reports for receivables and payables.
- Coordinate with management regarding payment approvals.
7. Payroll & Employee Records
- Prepare monthly salary sheets.
- Calculate attendance, overtime, deductions, incentives, and reimbursements.
- Maintain employee salary records and payroll documentation.
- Coordinate salary disbursement and maintain payroll registers.
8. Statutory Compliance
- Maintain records and documentation related to EPF, ESI, TDS, Professional Tax (where applicable), and Labour Laws.
- Prepare data required for statutory filings.
- Coordinate with consultants for timely compliance.
- Maintain compliance calendars and ensure deadlines are met.
- Preserve statutory registers and supporting documents.
9. HR & Administration Support
- Maintain employee attendance and leave records.
- Manage employee documentation, joining formalities, and personnel files.
- Assist in recruitment coordination and onboarding activities.
- Prepare appointment letters, confirmation letters, experience letters, and relieving letters.
- Maintain office records and confidential employee information.
- Support day-to-day administrative activities.
10. MIS & Reporting
- Prepare daily, weekly, and monthly MIS reports.
- Generate sales, purchase, stock, receivables, and payable reports.
- Prepare management reports for business review meetings.
- Maintain proper filing (physical and digital) of accounting and statutory documents.
11. General Responsibilities
- Ensure accuracy, confidentiality, and integrity of financial information.
- Maintain proper documentation for audits and statutory inspections.
- Comply with company policies and applicable statutory regulations.
- Coordinate effectively with management, production, stores, sales, vendors, customers, and external consultants.
- Perform any other accounts, finance, or administrative responsibilities assigned by management from time to time.
Desired Skills
- Strong knowledge of accounting principles and GST.
- Working knowledge of TDS, EPF, ESI, payroll, and statutory compliances.
- Proficiency in Microsoft Excel (VLOOKUP/XLOOKUP, Pivot Tables, formulas, data validation).
- Experience with accounting software such as Tally Prime or equivalent ERP systems.
- Good communication, coordination, and follow-up skills.
- Strong analytical ability and attention to detail.
- Ability to work independently and meet statutory deadlines.
Preferred Qualification/Experience
- 2–5 years of experience in accounting and compliance, preferably in a manufacturing company.
- Experience in GST reconciliation, inventory accounting, payroll processing, and statutory compliance will be preferred.
Pay: ₹18,000.00 - ₹30,000.00 per month
