Job Purpose
The Parent Relations Executive serves as the primary point of contact between the school and parents. The role focuses on building strong parent-school relationships, ensuring timely communication, addressing concerns professionally, and enhancing parent satisfaction through excellent customer service.
Key Responsibilities1. Parent Communication
- Serve as the first point of contact for parents regarding school-related queries.
- Respond to phone calls, emails, and walk-in enquiries promptly and professionally.
- Maintain regular communication with parents regarding school activities, policies, and events.
- Ensure all parent concerns are acknowledged and resolved within the stipulated time.
2. Parent Support
- Handle parent complaints and grievances courteously.
- Coordinate with teachers, coordinators, and management to resolve issues.
- Follow up until concerns are completely addressed.
- Maintain confidentiality of student and parent information.
3. Admission Support
- Assist prospective parents by providing information about the school's curriculum, facilities, and admission process.
- Schedule campus visits and school tours.
- Coordinate admission documentation and follow-up.
- Maintain admission enquiry records.
4. Relationship Management
- Build strong and positive relationships with parents.
- Organize parent engagement activities.
- Collect parent feedback periodically.
- Analyze feedback and recommend improvements.
5. Event Coordination
- Coordinate Parent-Teacher Meetings (PTMs).
- Assist in organizing orientation programmes, annual functions, exhibitions, and school celebrations.
- Ensure smooth parent participation during school events.
6. Documentation & Records
- Maintain accurate records of parent interactions.
- Prepare reports on complaints, suggestions, and resolutions.
- Maintain updated parent contact details.
7. Coordination
- Work closely with academic coordinators, transport, accounts, and administration departments.
- Ensure timely communication regarding transport, fee reminders, examinations, holidays, and emergency notifications.
8. Parent Satisfaction
- Conduct parent satisfaction surveys.
- Monitor service quality.
- Recommend initiatives to improve the parent experience.
- Build long-term trust and engagement with families.
Daily Responsibilities
- Attend parent enquiries.
- Respond to emails and phone calls.
- Update CRM or enquiry records.
- Coordinate with teachers regarding parent concerns.
- Follow up on pending issues.
- Prepare daily status reports.
- Assist visitors and prospective parents.
- Support school events and meetings.
Required Qualifications
- Bachelor's Degree (Any Discipline)
- Master's Degree (Preferred)
- Experience in School Administration, Customer Relations, or Hospitality is desirable.
Experience
- 2–5 years in Customer Relations, Front Office, School Administration, or Parent Relations.
Skills Required
- Excellent verbal and written communication in English.
