Job Description – Activity Coordinator / Head of ActivitiesPosition Overview
The Activity Coordinator / Head of Activities is responsible for planning, organizing, and overseeing the school's co-curricular programme, ensuring a diverse, engaging, and well-structured calendar of activities that contributes to the holistic development of students. The role involves coordinating with faculty, students, external agencies, and parents to deliver high-quality events and activity programmes aligned with the school's vision and educational philosophy.
Key ResponsibilitiesActivity Planning & Coordination
- Develop and implement the annual co-curricular activity calendar.
- Plan, organize, and supervise inter-house, inter-school, national, and international competitions.
- Coordinate clubs, societies, leadership programmes, and student engagement initiatives.
- Ensure activities are age-appropriate, educational, and aligned with the school's objectives.
- Introduce innovative programmes that enhance student participation and learning.
Event Management
- Lead the planning and execution of school events, assemblies, celebrations, exhibitions, cultural programmes, and annual functions.
- Coordinate logistics, venue arrangements, budgets, vendors, permissions, and event schedules.
- Ensure smooth execution of all events while maintaining quality and safety standards.
- Conduct post-event reviews and maintain documentation of activities.
Student Development
- Encourage student participation and leadership in co-curricular activities.
- Mentor student councils, prefects, club leaders, and event committees.
- Identify and nurture student talent across sports, arts, performing arts, leadership, and community service.
Staff Coordination
- Work closely with teachers, house staff, boarding staff, and department heads for effective implementation of activities.
- Allocate responsibilities and monitor execution of assigned tasks.
- Conduct regular meetings and briefings with activity teams.
Budget & Resource Management
- Prepare annual activity budgets and monitor expenditure.
- Procure and maintain activity-related equipment and resources.
- Liaise with vendors and external agencies for programmes and workshops.
Compliance & Safety
- Ensure all activities comply with school policies and child safeguarding guidelines.
- Conduct risk assessments for events and outdoor activities.
- Maintain discipline, student safety, and appropriate supervision during all programmes.
Administration
- Maintain records of activities, participation, achievements, budgets, and reports.
- Prepare monthly and annual activity reports for school leadership.
- Coordinate permissions, consent forms, travel documentation, and event communication.
Qualifications
- Bachelor's degree (Master's degree preferred) in Education, Physical Education, Event Management, Psychology, Arts, or a related field.
- 5–8 years of experience in school activity coordination, student affairs, event management, or a similar leadership role.
- Experience in residential/boarding schools will be an added advantage.

Pay: ₹30,000.00 - ₹70,000.00 per month
