Job Summary
The Facility Manager is responsible for overseeing the day-to-day operations, maintenance, safety, and security of the organization's facilities. The role ensures that the workplace is clean, safe, functional, and compliant with statutory requirements while managing vendors, budgets, and support services to provide an efficient working environment.
Key ResponsibilitiesFacility Operations
- Oversee the daily operations of office facilities and infrastructure.
- Ensure the proper functioning of electrical, plumbing, HVAC, lighting, DG, UPS, elevators, and other building systems.
- Conduct regular inspections and preventive maintenance of facilities and equipment.
- Coordinate office renovations, repairs, and space management activities.
Vendor Management
- Manage housekeeping, security, cafeteria, pest control, transport, and maintenance vendors.
- Monitor vendor performance and ensure adherence to service level agreements (SLAs).
- Process vendor invoices and maintain service contracts and AMC records.
Health, Safety & Compliance
- Ensure compliance with health, safety, fire, and environmental regulations.
- Conduct periodic fire drills and emergency preparedness activities.
- Maintain statutory records and coordinate compliance audits.
- Ensure all safety equipment is inspected and operational.
Administration
- Manage office assets, furniture, and facility-related inventories.
- Ensure adequate availability of office supplies and consumables.
- Support employee seating arrangements and office space utilization.
- Handle facility-related employee requests and resolve issues promptly.
Budget & Cost Control
- Prepare and manage the facilities budget.
- Monitor utility consumption and identify opportunities for cost optimization.
- Track facility expenses and ensure cost-effective operations.
Security Management
- Oversee access control systems and visitor management.
- Coordinate with security personnel to ensure workplace safety.
- Investigate and report security incidents when required.
Documentation & Reporting
- Maintain records of maintenance schedules, service reports, statutory documents, and vendor contracts.
- Prepare monthly MIS reports on facility operations, maintenance activities, and expenses.
Required Qualifications
- Bachelor's degree in Engineering, Facilities Management, Business Administration, or a related field.
- Certification in Facility Management or Safety (preferred).
Experience
- 5–8 years of experience in facilities or administration management.
- Experience managing corporate office facilities and vendor operations is preferred.
