Job Description – Scholar ERP Manager
1. Job Purpose
The Scholar ERP Manager will be responsible for the overall management, administration, monitoring, and effective utilization of the Scholar ERP system in the school. The role will ensure that student, academic, attendance, fee, communication, examination, employee, and administrative data is accurately maintained and that all users are able to use the ERP efficiently.
The position will act as the primary coordinator between the school departments, ERP users, and the ERP service provider.
2. Key ResponsibilitiesA. Scholar ERP Administration
- Manage the day-to-day functioning of the Scholar ERP system.
- Configure and maintain ERP modules as per school requirements.
- Create and manage user accounts, roles, and access permissions.
- Monitor the proper utilization of ERP by teachers and administrative staff.
- Ensure all required modules are updated and functioning properly.
- Identify system-related issues and coordinate their resolution.
B. Student & Academic Data Management
- Maintain accurate student profiles and admission-related information.
- Ensure timely updating of student records, classes, sections, subjects, and other academic information.
- Monitor student attendance records entered through the ERP.
- Support teachers in entering marks, examination results, remarks, assignments, and other academic information.
- Assist in managing academic reports, report cards, and other ERP-generated documents.
C. Attendance & Leave Management
- Monitor daily student and staff attendance through the ERP.
- Coordinate with the HR/People & Culture team regarding employee attendance data.
- Verify discrepancies in attendance records and ensure timely corrections.
- Monitor leave-related entries and reports, wherever applicable.
- Coordinate ERP attendance integration with biometric systems, if applicable.
D. Fee & Accounts Coordination
- Coordinate with the Accounts Department for fee-related ERP activities.
- Monitor student fee records and payment status.
- Assist in generating fee-related reports and statements.
- Ensure accurate updating of fee structures, concessions, and other relevant information.
- Resolve or escalate fee-related ERP issues to the concerned department/vendor.
E. Communication Management
- Support the school in sending notices, announcements, circulars, and other communications through the ERP.
- Assist in managing parent communication through the ERP/app.
- Ensure communication is sent to the correct students, parents, or staff members.
- Maintain records of important ERP-based communications.
F. Examination & Report Management
- Support the examination team in configuring examination-related requirements.
- Ensure accurate entry and verification of marks and grades.
- Generate report cards and examination-related reports.
- Assist in resolving errors related to examination data.
- Coordinate with teachers and academic coordinators for timely completion of ERP-related academic work.
G. User Training & Support
- Provide training to teachers and staff on Scholar ERP modules.
- Conduct orientation sessions for newly joined employees.
- Provide day-to-day assistance for ERP-related queries.
- Prepare basic SOPs and user guidelines for commonly used ERP processes.
- Monitor user compliance with ERP procedures.
H. Vendor Coordination
- Act as the main point of contact between the school and Scholar ERP support team.
- Raise technical support tickets whenever required.
- Follow up on unresolved issues until closure.
- Coordinate with the vendor for system updates, new features, customization, and integrations.
- Test new features or changes before implementation wherever required.
I. MIS & Reporting
- Generate regular MIS reports from the ERP for management and different departments.
- Provide accurate data whenever required by the Principal or Management.
- Prepare reports related to attendance, students, fees, academics, examinations, and other ERP modules.
- Identify discrepancies and coordinate with the concerned department for correction.
J. Data Security & Confidentiality
- Maintain confidentiality of student, parent, employee, academic, and financial information.
- Ensure ERP access is provided only to authorized users.
- Regularly review user access and deactivate accounts of employees who have left the organization.
- Follow the school's data security and confidentiality policies.
- Ensure important ERP data is handled responsibly and securely.
3. Daily Responsibilities
- Check the overall functioning of Scholar ERP.
- Monitor important pending ERP activities.
- Check attendance and data synchronization.
- Address user queries and technical issues.
- Coordinate with concerned departments for data corrections.
- Follow up with the ERP vendor for open issues.
- Ensure important reports and entries are completed within timelines.
4. Required Qualifications
- Bachelor's degree in Computer Applications, Information Technology, Computer Science, Management, or a related field.
- Additional ERP/MIS certification will be an advantage.
- Experience with school management ERP systems will be preferred.
5. Experience
Preferred: 2–5 years of experience in ERP management, school ERP administration, MIS, IT support, or a similar role.
Experience with Scholar ERP will be highly preferred.

10. Overall Responsibility
The Scholar ERP Manager will be accountable for ensuring that Scholar ERP is used effectively across the school and that all relevant data and processes are maintained accurately, securely, and within the prescribed timelines.
Pay: ₹35,000.00 - ₹40,000.00 per month
