Role Overview
We are looking for an experienced HR & Administration Executive with strong expertise in office administration, facility management, vendor coordination, workforce administration, and HR operations. The role will be primarily focused on Administration, with responsibility for supporting day-to-day HR activities.
Key Responsibilities Administration & Facility Management
- Manage day-to-day office and plant administration and ensure smooth functioning of facilities.
- Handle office supplies, stationery, housekeeping, maintenance, utilities, and facility-related requirements.
- Coordinate with vendors, contractors, service providers, building management, and maintenance agencies.
- Monitor and maintain administrative records, AMC documents, bills, contracts, and vendor documentation.
- Coordinate transport, canteen, housekeeping, security, and other facility services.
- Handle security management, visitor management, gate-pass processes, and related administrative activities.
- Assist in scrap management, including coordination, documentation, and disposal activities.
- Coordinate office/plant events, meetings, employee engagement activities, and other administrative arrangements.
- Ensure proper upkeep, cleanliness, safety, and discipline of the workplace.
- Handle purchase requirements for stationery, housekeeping materials, pantry items, and other administrative consumables.
- Track administrative expenses and coordinate with the Accounts team for vendor bills and payments.
- Identify administrative issues and ensure timely resolution through coordination with concerned departments/vendors.
HR Operations
- Support recruitment of shopfloor / blue-collar workforce, including contractual employees, apprentices, and trainees.
- Coordinate joining formalities, employee documentation, induction, onboarding, and exit formalities.
- Maintain accurate physical and digital employee records.
- Track attendance, leave, shift details, and employee-related data for payroll processing.
- Coordinate with payroll/compliance teams for required HR inputs and documentation.
- Handle routine employee queries related to HR policies, attendance, leave, facilities, and workplace procedures.
- Coordinate training programs and maintain training records and documentation.
- Support employee engagement and welfare activities.
Compliance & Documentation
- Coordinate with the external compliance consultant/vendor for statutory and labour compliance-related documentation.
- Collect and maintain documents required for PF, ESIC, labour law, contractor compliance, and other statutory requirements.
- Maintain proper records and ensure timely submission of required documents.
- Support audits and inspections by providing required HR/Admin records and documents.
Required Skills
- Strong Administration & Facility Management experience.
- Good knowledge of vendor and contractor management.
- Experience in canteen, transport, housekeeping, security, and scrap management.
- Experience in blue-collar workforce administration will be preferred.
- Good knowledge of MS Office – Excel, Word, and PowerPoint.
- Strong coordination, communication, negotiation, and problem-solving skills.
- Ability to independently manage multiple administrative activities.
- Good documentation and record-keeping skills.
Immediate joiners / candidates with short notice period preferred.
5–6 years of experience in HR & Administration, with a strong focus on plant/office administration, facility management, vendor coordination, workforce administration, and day-to-day operational support.
Pay: From ₹300,000.00 per month
