Job Summary
The Front Desk Executive is the first point of contact for visitors, clients, vendors, and employees. The role is responsible for managing the front office, handling incoming calls, coordinating visitors, and providing administrative support to ensure smooth day-to-day office operations.
Key ResponsibilitiesReception & Visitor Management
- Welcome and assist visitors, clients, and guests in a professional and courteous manner.
- Maintain visitor records and issue visitor passes as per company policy.
- Inform concerned employees about visitor arrivals.
- Ensure the reception area is clean, organized, and presentable at all times.
Telephone & Communication
- Attend and transfer incoming telephone calls professionally.
- Take accurate messages and ensure timely communication.
- Respond to general inquiries from customers, vendors, and visitors.
Administrative Support
- Maintain inward and outward courier registers.
- Coordinate dispatch and receipt of couriers, parcels, and official documents.
- Maintain office files and records.
- Provide administrative support to the HR and Administration Department.
- Coordinate meeting room bookings and visitor arrangements.
Office Coordination
- Coordinate with housekeeping for cleanliness and maintenance of the reception area.
- Coordinate with the security team for visitor management.
- Monitor and maintain reception stationery and office supplies.
Documentation & Reporting
- Maintain visitor, courier, and communication records.
- Prepare daily reports as required by the management.
- Ensure confidentiality of company information.
Qualification
- Graduate in any discipline.
- Diploma or certification in Office Administration will be an added advantage.
Experience
- 1 to 3 years of experience as a Front Desk Executive, Receptionist, Customer Service Executive, or Administrative Assistant.
- Freshers with excellent communication skills and a professional personality may also apply.
Skills Required
- Excellent communication skills in English, Hindi, and Gujarati.
- Pleasant personality with professional grooming.
- Strong customer service and interpersonal skills.
- Proficiency in MS Office (Word, Excel, Outlook).
- Good organizational and multitasking abilities.
- Positive attitude and ability to work in a professional corporate environment.
Salary
CTC: Up to ₹20,000 per month (Depending on qualification, experience, communication skills, and interview performance.)
