The Front Office Executive will serve as the first point of contact for visitors, clients, vendors, and employees. The role involves managing the front office professionally, handling communication, coordinating administrative activities, supporting management, and creating a positive and welcoming experience for everyone visiting BACS ENERGY PVT. LTD.
Key Responsibilities
Reception Management
· Welcome visitors, clients, vendors, and guests in a professional and courteous manner.
· Maintain visitor records and issue visitor passes as required.
· Inform concerned employees promptly about visitor arrivals.
· Ensure the reception area remains clean, organized, and presentable at all times.
· Provide hospitality and assistance to clients, guests, and senior management.
Telephone & Communication
· Answer and handle incoming telephone calls professionally.
· Transfer calls to the appropriate departments or personnel.
· Record and relay important messages accurately.
· Respond to enquiries courteously and efficiently.
· Manage official emails and general office correspondence.
Administrative Support
· Maintain inward and outward courier records.
· Coordinate the dispatch and receipt of official documents.
· Maintain office registers, records, and filing systems.
· Schedule and manage meeting room bookings.
· Assist in drafting official letters and correspondence.
· Provide administrative support to the HR and Administration departments.
Office Coordination
· Coordinate with housekeeping staff to maintain office cleanliness.
· Coordinate with pantry staff for refreshments during meetings and guest visits.
· Coordinate with security personnel regarding visitor entry and access.
· Ensure front office operations are maintained as per company standards.
· Maintain reception inventory and office stationery records.
Documentation
· Maintain the visitor register.
· Maintain the courier register.
· Record inward and outward dispatch details.
· Coordinate employee attendance records, if assigned.
· Prepare daily administrative and front office reports.
Event & Meeting Coordination
· Arrange meeting rooms before scheduled meetings.
· Coordinate refreshments during meetings.
· Assist HR during recruitment interviews.
· Support office events, celebrations, and company functions.
· Welcome VIP guests and ensure proper hospitality arrangements.
