Position Overview
The Personal Assistant will work directly with the Managing Director to ensure seamless day-to-day operations. This role requires exceptional organizational skills, confidentiality, excellent communication, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Manage the Managing Director's calendar, appointments, meetings, and travel schedules.
- Handle incoming calls, emails, and correspondence professionally.
- Prepare meeting agendas, presentations, reports, and business documents.
- Coordinate with architects, engineers, contractors, clients, vendors, and government authorities.
- Follow up on project progress and ensure timely completion of assigned tasks.
- Maintain confidential files, records, contracts, and important documentation.
- Assist in property-related documentation, legal paperwork, and project coordination.
- Organize meetings, prepare minutes, and monitor action items.
- Coordinate office administration and ensure smooth communication across departments.
- Handle expense reports, invoices, and basic financial documentation.
- Conduct internet research and prepare reports whenever required.
- Assist in organizing business events, client meetings, and company functions.
- Represent the Managing Director professionally when communicating with stakeholders.
- Perform any additional administrative or executive support duties as assigned.
Required Qualifications
- Bachelor's degree in Business Administration, Commerce, Management, or a related field.
- Minimum 2–5 years of experience as a Personal Assistant, Executive Assistant, or Administrative Executive.
- Experience in construction, real estate, architecture, or infrastructure industries will be an added advantage.
- Excellent spoken and written English; proficiency in Tamil and Hindi is a plus.
- Strong knowledge of Microsoft Office (Excel, Word, PowerPoint) and Google Workspace.
- Excellent organizational, multitasking, and time-management skills.
- Ability to work independently with minimal supervision.
- High level of integrity and confidentiality.
- Professional appearance and strong interpersonal skills.

- Strong follow-up and coordination abilities.
- Ability to handle pressure and meet deadlines.
- Good negotiation and communication skills.
- Knowledge of project documentation and office administration.
- Basic understanding of construction terminology and processes.
- Experience with CRM or project management software is an advantage.
