About the Role
We’re looking for an Operations & People Associate who wants to understand how a creative agency works from the inside out.
This role sits at the intersection of operations, hiring, people coordination, business support, and execution. You’ll work closely with the Founder’s Office and leadership team, getting exposure to different parts of the business rather than being restricted to one function.
You could be coordinating a hiring process one day, following up with teams on an important project the next, helping organise a shoot or internal process, and supporting the team with a new business requirement after that.
The idea is simple: learn how the business works, take ownership, and gradually grow into larger responsibilities.
This is an ideal role for someone who is organised, proactive, comfortable speaking to people, good at follow-ups, and wants a fast-track understanding of operations, people, business, and agency management.
Key Responsibilities1. Operations & Business Operations
- Assist in managing the day-to-day operational workflows of the agency
- Coordinate with internal teams to track tasks, timelines, deliverables, and dependencies
- Follow up with teams and stakeholders to ensure work moves as planned
- Maintain trackers, reports, documentation, schedules, and operational records
- Coordinate with vendors, freelancers, production partners, and other external stakeholders
- Support planning and execution of shoots, campaigns, activations, events, and other agency requirements
- Identify operational gaps and help solve day-to-day execution challenges
- Support leadership with operational tasks and projects as required
2. Hiring & People Coordination
- Support the end-to-end recruitment coordination process across different roles
- Source and organise candidate profiles through relevant platforms and networks
- Coordinate interviews between candidates and internal teams
- Maintain candidate trackers and ensure timely follow-ups
- Communicate with candidates throughout the hiring process
- Assist with offer documentation, onboarding coordination, and joining formalities
- Support employee engagement and internal coordination initiatives
- Maintain basic HR documentation and records
- Work closely with the leadership team on current and upcoming hiring requirements
3. Founder’s Office Support
- Work closely with the Founder’s Office on business and operational priorities
- Assist with meetings, follow-ups, documentation, presentations, reports, and internal coordination
- Track important action points and ensure they are followed through
- Support special projects and initiatives driven by the leadership team
- Step in across functions wherever additional operational bandwidth is required
- Help bring structure to processes that are still evolving
4. Business Development Support
In the initial stage, this role will support the Business Development function rather than independently handle sales or business development.
Responsibilities may include:
- Supporting research on prospective clients, brands, and business opportunities
- Helping organise prospect and lead information
- Assisting with preparation of credentials, proposals, presentations, and pitch-related material
- Coordinating internally for information required for pitches and proposals
- Maintaining follow-up trackers for business opportunities
- Supporting meeting coordination and documentation
- Understanding how the agency approaches new business and client acquisition
As the individual gains experience and demonstrates ownership, the role can gradually expand into direct Business Development and client-facing responsibilities.
5. General Agency & Execution Support
- Coordinate across creative, design, video, production, and other teams when required
- Support on-ground requirements during shoots, campaigns, activations, and events
- Help manage last-minute requirements and execution challenges
- Ensure information flows smoothly between teams
- Take ownership of tasks from initiation to completion
- Assist leadership in getting things done rather than simply tracking them

Preferred Skills
- Strong verbal and written communication
- Good coordination and follow-up skills
- Basic understanding of operations and project management
- Familiarity with Google Workspace, Excel/Sheets, PowerPoint, Canva, etc.
- Good organisational and documentation skills
- Ability to research, structure information, and present it clearly
- Comfortable working with trackers, timelines, and multiple stakeholders
- Prior internship or experience in operations, HR/recruitment, business support, administration, or a startup/agency environment is a plus
