About the Role
Vivaan Water & Enviro Solutions Pvt. Ltd. is looking for a proactive and detail-oriented Business Development & Process Coordination Executive to support the company's sales and business development operations. The role involves managing enquiries, coordinating sales processes, preparing proposals, maintaining customer relationships, tracking business opportunities, and ensuring seamless coordination between clients and internal teams from enquiry generation to project completion and payment realization.
The ideal candidate should possess strong coordination, documentation, communication, and commercial skills, with experience in business development support, tender coordination, CRM management, and project coordination.
Key ResponsibilitiesBusiness Development Support
- Manage enquiries received through the website, email, telephone, social media, exhibitions, referrals, consultants, and direct marketing activities.
- Maintain and regularly update lead databases and CRM records.
- Identify prospective clients, consultants, industries, builders, architects, EPC contractors, and government organizations.
- Conduct preliminary lead qualification and opportunity assessments.
- Schedule client meetings, technical presentations, and business discussions.
Proposal & Quotation Management
- Prepare quotations, techno-commercial proposals, capability statements, and company profiles.
- Coordinate with technical teams for costing, project scope, and technical inputs.
- Ensure timely submission of proposals and follow up with clients.
- Maintain records and status of all proposals submitted.
Tender Management
- Monitor government, industrial, and private tender opportunities relevant to the company's services.
- Coordinate preparation and submission of tender documents.
- Maintain a repository of statutory documents, registrations, certificates, and credentials required for tender participation.
- Track tender deadlines and ensure timely submissions.
Client Relationship Management
- Maintain regular communication with prospective and existing clients.
- Respond promptly to customer enquiries and coordinate resolutions with internal teams.
- Follow up on quotations, approvals, purchase orders, and work orders.
- Support customer retention initiatives and encourage repeat business.
Project Process Coordination
- Coordinate with Business Development, Project Teams, Hydrogeologists, Field Teams, Accounts, and Management.
- Monitor project progress and keep clients informed about execution status.
- Ensure timely sharing of reports, deliverables, invoices, and project completion documentation.
- Track project milestones and commitments to ensure timely delivery.
Commercial Coordination
- Coordinate the issuance of work orders, agreements, invoices, and payment follow-ups.
- Maintain records of receivables and pending client payments.
- Assist management in preparing project profitability reports and sales performance reports.
Marketing Support
- Coordinate participation in exhibitions, trade fairs, seminars, and industry events.
- Maintain company presentations, brochures, project references, and marketing collateral.
- Support digital marketing initiatives, website updates, and social media activities.
- Develop and maintain databases of consultants, industries, and potential clients.
MIS & Reporting
- Prepare daily, weekly, and monthly business development reports.
- Track enquiry-to-order conversion ratios and sales performance.
- Maintain sales pipeline reports and project status dashboards.
- Generate management reports covering enquiries, proposals, orders, revenue, and collections.

Eligibility CriteriaEducation
- Graduate in any discipline.
Experience
- 6–8 years of experience in Business Development Support, Sales Coordination, Tender Coordination, CRM Management, or Project Coordination.
- Experience in engineering, infrastructure, environmental, water management, or consultancy industries will be an added advantage.

Pay: ₹20,000.00 - ₹40,000.00 per month
