Combining exquisite craftsmanship with high-end retail, the company operates a state-of-the-art manufacturing unit in Sector 8, Noida, and premium retail showrooms across Delhi’s luxury hubs, including Chandni Chowk and Mehrauli.
Role Summary
We are seeking a highly organized, dynamic, and disciplined Manager – Administration to oversee end-to-end administrative, facilities, and operational workflows. This multi-site role requires managing the administration of factory premises in Noida, showrooms in Delhi, and providing high-touch administrative support for the owners' residence in Civil Lines, New Delhi.
The ideal candidate will bridge structured corporate administration with hands-on facility management, workforce discipline, and legal compliance.
Key Responsibilities & KRAs
1. Multi-Site Facility & Housekeeping Management
Operations & Upkeep: Oversee daily administrative and facility operations across the Noida factory, Delhi showrooms through the housekeeping vendor.
Housekeeping & Hygiene: Ensure impeccable standards of cleanliness, hygiene, and premium maintenance across all premium retail and manufacturing floors.
Infrastructure & Infrastructure Support: Ensure 100% uptime of essential office automation systems, including CCTV networks, intercoms, Wi-Fi connections, and printers.
Project Oversight: Supervise and coordinate any ongoing civil/construction activities within company premises to ensure zero disruption to core operations.
2. Labor Management, Discipline & Productivity
Floor Management: Conduct regular, proactive visits to production floors to interact with labor teams, address grievances, and preempt operational bottlenecks.
Code of Conduct: Act as the custodian of organizational discipline. Counsel, mentor, and train salesmen, stock boys, and Personal Security Officers (PSOs) at both stores and the factory regarding professional manners, grooming, and conduct.
Conflict & Reporting Hierarchies: Maintain strict adherence to organizational hierarchies and robust grievance/reporting systems.
3. Supply Chain, Logistics & Front-Desk Administration
Material Movement: Supervise the movement of luxury goods between various internal departments, ensuring zero leakage or damage.
Documentation Control: Strictly monitor and verify all Inward and Outward gate passes/challans for accuracy and audit readiness.
Ensure smooth transport/ mobility arrangement for official movement of company employees for official work for local, inland and international travel.
Front Desk & Security: Oversee reception/front desk operations and directly manage security agencies, guard deployments, and patrol movements across all sites.
4. Legal Compliance, Contracts & Budgetary Control
Legal Drafting: Draft, review, and solidify vendor agreements and legal documents to safeguard the company’s commercial interests.
Advisory: Provide sound administrative and preliminary legal opinions, memoranda, and briefing documents to the senior management on statutory compliance.
Expense Optimization: Prepare, compile, and analyze regular administrative expense data. Implement stringent cost-control measures without compromising on operational quality.
Event Planning: Plan, schedule, and seamlessly execute corporate events, high-level vendor meetings, and internal conferences.
Candidate Profile & Qualifications
Experience: 8–15 years of solid experience in Administration and Facility Management, preferably managing multi-site operations in luxury retail, garment manufacturing, export houses, or premium hospitality sectors.
Education: Bachelor’s degree in Business Administration, Commerce, or a related field. A background or degree in Law (LLB) or Post Graduate Diploma in Industrial Relations/Labor Laws will be a distinct advantage given the contractual and legal expectations.
Key Skills:
Strong commanding presence with excellent team management and labor handling capabilities.
Sharp eye for detail regarding premium facility upkeep and security systems.
Proficient in drafting commercial contracts and managing administrative budgets.
Excellent verbal and written communication skills in English and Hindi.
Willingness to travel regularly between Noida, Chandni Chowk, Mehrauli, and Civil Lines.
High degree of Professional ethics and Integrity.
Compensation
Commensurate with experience and industry standards
