Procurement Specialist / Associate Manager – Centre Procurement

Role Overview
We are looking for a Procurement Specialist / Associate Manager – Centre Procurement to manage end-to-end procurement requirements across our healthcare and diagnostic centres. The role will be responsible for requirement validation, vendor sourcing, quotation evaluation, commercial negotiations, purchase coordination, and delivery tracking. The ideal candidate should be analytical, commercially astute, detail-oriented, and highly organised, with strong experience in multi-location healthcare procurement.
Key Responsibilities
Procurement & Purchase Management
- Manage end-to-end procurement requests received from multiple healthcare and diagnostic centres.
- Validate specifications, quantities, approvals, urgency, and operational requirements.
- Procure medical consumables, laboratory supplies, equipment, facility materials, and operational services.
- Process purchase requisitions and purchase orders in line with approved procurement policies.
- Track requirements from request initiation through approval, ordering, delivery, and closure.
- Prioritise critical and time-sensitive requirements to ensure uninterrupted centre operations.
- Consolidate requirements across centres to achieve better commercial terms and procurement efficiencies.
Vendor Management & Commercial Negotiation
- Identify, evaluate, onboard, and manage reliable vendors and service providers.
- Obtain competitive quotations and conduct detailed commercial comparisons.
- Negotiate pricing, payment terms, delivery schedules, warranties, and service conditions.
- Monitor vendor performance against quality, pricing, delivery, and service commitments.
- Develop and maintain a strong, reliable, and diversified vendor network.
- Resolve vendor-related issues and recommend corrective actions where required.
Centre Coordination & Supply Planning
- Coordinate closely with Centre Managers, Operations, Quality, Finance, and central teams to understand and fulfil procurement requirements.
- Provide regular updates on procurement status, pending approvals, delays, and supply risks.
- Monitor consumption and availability of critical supplies and support timely replenishment.
- Identify recurring emergency purchases, excess inventory, slow-moving items, and potential cost-saving opportunities.
- Review and challenge incomplete, unclear, or commercially unreasonable procurement requests when required.
Process, Compliance & Reporting
- Ensure adherence to procurement policies, approval matrices, documentation standards, and internal controls.
- Maintain accurate records of quotations, commercial comparisons, approvals, POs, contracts, and delivery documentation.
- Maintain procurement trackers, MIS reports, and dashboards using ERP systems and Microsoft Excel.
- Track and report procurement status, savings, turnaround time, delivery performance, and vendor performance.
- Support procurement audits, SOP development, process improvements, and standardisation initiatives.
- Maintain complete transparency, confidentiality, and high ethical standards in all procurement and vendor interactions.
Mandatory Requirements
- Bachelor’s degree in Business Administration, Supply Chain Management, Procurement, or a related discipline.
- 6–10 years of relevant procurement experience, preferably in a multi-location environment.
- Prior experience with a diagnostic chain, laboratory network, hospital chain, or healthcare organisation is mandatory.
- Experience managing procurement requirements across multiple centres, branches, or locations.
- Strong expertise in vendor management, commercial negotiation, quotation analysis, and purchase management.
- Proficiency in ERP systems, Microsoft Excel, and collaboration/task-management tools.
- Strong analytical, documentation, follow-up, coordination, and task-management skills.
- Ability to manage multiple procurement requirements simultaneously while maintaining accuracy and timelines.
- High level of integrity, confidentiality, accountability, and ethical conduct.
Preferred Qualifications & Experience
- Experience working in a startup, high-growth, or rapidly expanding organisation.
- Hands-on experience in procurement of medical consumables, laboratory supplies, medical equipment, facility materials, and operational services.
- Exposure to procurement dashboards, cost optimisation, savings initiatives, and vendor performance reviews.
- Experience in developing or improving procurement SOPs, workflows, and technology-enabled tracking systems.
- Familiarity with healthcare quality, compliance, and audit requirements.
- Prior experience managing or coordinating with international vendors.
