Role Overview
The Executive Assistant to Directors will play a pivotal role in ensuring smooth centre operations, supporting leadership, enhancing customer experience, and driving strategic growth initiatives. This position requires strong coordination, operational oversight, and stakeholder management skills in a healthcare or clinical setting.
Key Responsibilities
Administrative & Centre Operations Management
- Oversee day-to-day centre operations, ensuring all departments (front desk, facilities, maintenance, and support services) function efficiently.
- Prepare and manage therapy schedules and appointment slots based on therapist availability and parent requirements.
- Coordinate closely with parents, therapists, support staff, Heads of Departments (HODs), and the admin team to ensure seamless operations.
- Identify, address, and resolve operational challenges while proactively improving workflows and processes.
Compliance & Risk Management
- Develop and implement risk management strategies to ensure the safety of staff and clients.
- Ensure adherence to healthcare regulations, internal policies, and ethical standards.
Customer Relations & Experience
- Develop and implement customer service policies, processes, and training programs to maintain high service standards.
- Address customer inquiries, feedback, and complaints promptly, ensuring satisfactory resolution.
- Collect and analyze customer feedback to identify trends and proactively improve service quality.
- Act as the primary point of contact for key clients and high-priority cases, fostering strong relationships and personalized experiences.
- Organize customer-centric initiatives and events to promote services and encourage community engagement.
Requirements
- Bachelor’s or Master’s degree in Healthcare Management, Hospital Administration, Business Administration, or a related field.
- 2–10 years of experience in operations management, preferably in a hospital, clinic, or healthcare setting.
- Strong leadership, organizational, and problem-solving abilities.
- Excellent communication and interpersonal skills.
